About The Position

The Workers’ Compensation Coordinator serves as a key representative of the practice’s Workers’ Compensation program. This role coordinates scheduling, documentation, and authorizations for injured workers while ensuring compliance with carrier, adjuster, and nurse case manager requirements. The Coordinator plays a critical role in securing prior authorizations, facilitating continuity of care, and supporting timely reimbursement.

Requirements

  • High school diploma or equivalent required; healthcare or business education preferred
  • 2+ years of experience in Workers’ Compensation, medical authorizations, or healthcare scheduling preferred
  • Strong working knowledge of WC guidelines, documentation, and authorization processes
  • Proficiency with EMR systems (NextGen preferred)
  • Excellent organizational, communication, and multitasking skills
  • High attention to detail with a strong commitment to patient service and compliance

Responsibilities

  • Manage incoming calls and email correspondence related to Workers’ Compensation with professionalism, accuracy, and compliance.
  • Schedule WC patient appointments in accordance with established protocols, provider preferences, and WC guidelines.
  • Create and maintain WC cases in NextGen, including carrier, adjuster, and nurse case manager details.
  • Obtain, track, and verify authorizations for office visits, fracture care, DME, imaging, and surgical services.
  • Initiate and monitor Authorization and Fee Agreements; coordinate with Accounts Receivable for follow-up.
  • Schedule and coordinate Nurse Case Manager (NCM) visits and verify payment prior to appointments.
  • Monitor daily WC clinic schedules, manage reschedules, and notify adjusters of no-shows as required.
  • Process and distribute DWC-25 forms and related documentation within required timeframes.
  • Facilitate WC patient check-out, including review of work status and restrictions.
  • Post WC charges, audit for accuracy, and scan/index documentation in NextGen.
  • Support Accounts Receivable with authorization and payment discrepancy resolution.
  • Represent the practice’s WC program at approved outreach and marketing events.
  • Perform other duties as assigned.
