About The Position

Rivkin Radler LLP seeks a Word Processing Supervisor to oversee the Word Processing department supporting 260 attorneys in a busy litigation practice. This role manages staff and daily workflow in a ticket-based environment while remaining hands-on with complex legal document production and quality control, including pleadings, motion papers, discovery, and appellate filings. Requires advanced Microsoft Word formatting skills (inserting Heading Styles using Firm macros, TOCs, TOAs, numbering and redlining) and the ability to prioritize competing court deadlines.

Requirements

  • 7–10+ years legal word processing experience in a law firm environment
  • 2+ years supervisory or lead experience
  • Extensive litigation document production experience
  • Advanced Microsoft Word (heading styles, numbering, templates, TOC/TOA, section breaks)
  • Proficiency in Microsoft Excel and Outlook
  • NetDocuments document management system
  • Kofax Power PDF
  • Redlining and document comparison tools (Litera)
  • Familiarity with NYSCEF and Federal E-filing
  • Experience working in a ticket-based workflow environment
  • Exceptional attention to detail and accuracy
  • Strong deadline prioritization skills
  • Excellent customer service and communication skills
  • Ability to manage high-pressure filing deadlines
  • Leadership and team development abilities

Nice To Haves

  • Insurance defense or high-volume litigation practice preferred
  • Experience in centralized document services department preferred

Responsibilities

  • Supervise Word Processing staff, including scheduling, training, mentoring and performance management
  • Manage and triage workflow through the firm’s ticketing system (Freshservice)
  • Prioritize assignments based on court deadlines and litigation urgency
  • Monitor queue activity to maintain turnaround standards and service levels
  • Handle escalated attorney requests and resolve competing deadline conflicts
  • Provide daily operational updates to administration
  • Oversee preparation and formatting of complex legal documents, including: Pleadings, motions, briefs and memoranda of law Answers, discovery demands and responses
  • Review and finalize: Tables of Contents (TOC) Tables of Authorities (TOA) (Litera) Automated numbering and heading styles using Firm macros Redlining and comparisons (Litera) PDF conversions
  • Ensure compliance with NYSCEF, Federal Court, and judge-specific formatting requirements
  • Troubleshoot document corruption and complex formatting issues
  • Maintain document templates and department standards
  • Train staff on legal formatting best practices
  • Recommend workflow efficiencies and process improvements
  • Support users within the NetDocuments document management environment
  • Manage PDF creation, editing, and conversion using Kofax Power PDF
  • Coordinate with IT regarding software updates and technical issues
  • Track productivity and turnaround metrics via Freshservice reporting
  • Maintain procedures and training documentation
  • Participate in hiring and onboarding of Word Processing Specialists
