Duties: Order supplies for camps and family programs Assist with camp parent communication, including but not limited to, weekly slideshow, parent orientation and payment inquiries Prepare printed materials for family programs and events Process lodging needs for family programs and wedding blocks Arrange transportation for camps Process all payments for social events and weddings Setting up EVT Master Accounts Place specialty linen orders with Reynolds preferred vendors Manage and execute wedding events for maximum of 40 guests Involves site visit, preparing estimates, gathering rental quotes, preparing contracts, creating diagrams, creating BEO’s Manage vendor and guest list communication to Reynolds Security Update website with current wedding photos and collateral Prepare diagrams in Social Tables Prepare and deliver wedding amenities to cottages Partners with Operations Departments to execute events Maintain relationships among members, customers, their representatives, the Ritz-Carlton and Reynolds Lake Oconee to ensure full participation in servicing on-property meetings and events Prepare BEO’s and resumes for events Attend meetings as required and requested Assist with on-site event execution including inspecting finished arrangements, oversee greeting or check-in of event hosts and guests Assist Family Programing Manager with Pacesetter events Maintain computer files Responsible for processing PO’s for Weddings and Family Programming Assist in sourcing event décor and entertainment Support the Administrative position by assisting with daily duties when on vacation and as needed Manage the Human Resources account, i.e. EarthRock, Momentun, etc. Qualification/Requirements/Experience/Education: Associate or Bachelor Degree Preferred General office experience needed, Club, Hotel, Resort or industry experience preferred Excellent verbal and written communication skills Ability to follow directions through to completion and complete tasks accurately General Food and Beverage knowledge Strong customer service oriented Experience in Excel and Word Applications preferred Schedule: This is an on-site position with the requirement of being present on property as required for the oversight of all meeting sand events. Ability to work overtime or varied hours based on business levels, client availability and event schedules including many evenings, weekend and possible holidays with standard business hours being set as 8:30am – 5:00pm, Monday – Friday or Tuesday - Saturday.
