About The Position

The Wedding Administrative Assistant responsibilities include responding to wedding and event inquiries received by telephone and email in a timely fashion to then assign to the appropriate Wedding & Catering Sales Manager on a rotation basis. The Wedding Administrative Assistant prepares contracts, estimates of charges, and maintains department banquet event calendar and other administrative tasks as requested within the office area. The Wedding Administrative Assistant provides email reply support as appropriate on behalf of the Wedding & Catering Sales Managers while they are away from their desks for client site visits and client tastings.

Requirements

  • College graduate preferred.
  • Previous Resort, Hotel or Event Planning experience preferred.
  • Food and Beverage experience strongly preferred.
  • Computer training and typing skills required.
  • Knowledge of local area helpful.
  • Must have ability to communicate with proper grammar in English and provide legible, detailed communication and have excellent telephone and interpersonal skills.
  • Ability to use catering systems such as Salesforce or Delphi or reservations systems such as Versa.
  • Must have strong organizational and leadership skills and able to compute basic mathematical calculations.
  • Must have professional demeanor and positive, friendly attitude with the ability to perform job functions with attention to detail and accuracy.
  • Must have strong problem-solving skills, communication skills, attention to detail and creativity.
  • Must be able to work Monday – Friday 8:30am-4:30pm.
  • Must be able to lift minimum weight of 20 lbs. across short-medium distances.
  • Must be capable of working Monday – Friday 8:30am-4:30pm.
  • Must be able to sit / stand for a majority of shift while reaching, bending and stooping as needed.
  • Must be able to work on site due to daily needs of the job requirements.

Responsibilities

  • Creates and maintains banquet event orders for ‘day’ social groups and elopements to turn over to the Wedding & Catering Sales Manager who are client facing.
  • Completes all required event documentation for the Town of Kiawah.
  • Maintains and supports Service Commitment and Core Values.
