About The Position

Your role stands at the intersection of providing administrative and operational support to our Washington affiliate and the fight to change the odds for historically underserved children and families. The Washington Operations Coordinator is responsible for providing executive support, development support, events support, and coordinating all operations and office management systems for a fully remote team in Washington State. This individual will play a key role in planning and supporting impactful campaigns. Through your proactive and organized approach to the role, you get the opportunity to work with colleagues who are bold and strategic and take responsibility for achieving substantial progress toward our mission every year.

Requirements

  • Passionate commitment and alignment to Stand for Children's mission, vision, and values.
  • Minimum of four years of combined professional experience with administrative/executive support and/or event management support.
  • Strong interpersonal relationships with the ability to manage up and sideways.
  • Strong written communication skills.
  • Expert proficiency with Microsoft Office, particularly Outlook, Excel, PowerPoint, and Word; high comfort level with technology.
  • CRM experience with Salesforce experience preferred.
  • Exceptional organizational and project management skills, keen attention to detail, customer-service orientation, and proactive problem-solving skills. Experience with Asana is a plus.
  • Ability to gracefully manage multiple tasks and projects under a deadline in a fast-paced work environment.
  • Ability to follow through on commitments to others and accept and incorporate direct feedback.
  • Ability to work occasional weekends and/or evenings.
  • Ability to transport items (less than 10 pounds); ability to be stationary for extended periods of time; may require the ability to climb stairs.
  • Fully remote work environment, with requirements for monthly travel to Seattle and occasional (1-3 times/year) travel to Olympia.
  • Valid Driver’s License and access to reliable transportation.

Nice To Haves

  • CRM experience with Salesforce experience preferred.
  • Experience with Asana is a plus.

Responsibilities

  • Maintain the Executive Director’s schedule, including coordinating team calendars; scheduling staff meetings; scheduling meetings with funders, coalition partners, and other leaders and stakeholders as needed.
  • Manage team travel logistics.

  • Prepare and organize meeting materials and handle follow-up tasks.
  • Assist with expense reporting and invoice processing.
  • Support a successful fellowship program through the timely completion of paperwork.
  • Coordinate annual planning cycle, including scheduling performance reviews, booking space, and managing travel logistics for annual planning retreat, coordinating monthly in-person staff meetings.
  • Coordinate logistics for events, including booking venues, arranging catering, and managing supplies for events such as lobby days, member meetings, coalition meetings, and community-oriented listening and informational sessions.
  • Communicate with vendors and ensure timely payments.
  • Provide on-site support during events and manage volunteer coordination.
  • Lead the coordination and execution of events, including logistics, vendor management, and supply procurement.
  • Coordinate electoral endorsement process, including maintaining candidate list, tracking endorsement questionnaires & interview schedules, and recruiting endorsement committee volunteers.
  • Coordinate coalition communications, meeting schedules, and membership.
  • Support effective policy implementation through maintaining accurate tracking spreadsheets, coordinating stakeholder engagement, and other support as needed.
  • Maintain accurate donor records in Salesforce.
  • Process and acknowledge gifts within 24 hours of receipt, including large fundraising events.
  • Maintain an accurate and up-to-date list of major donors, VIPs, and prospects.
  • Support a cadence of regular communication, donor stewardship, and engagement.
  • Coordinate with National Development regarding grant calendars and scheduling.
  • Maintain organized virtual office systems and shared calendars.
  • Order and manage office supplies, and liaise with vendors that align with Stand's values and follow sustainable practices.
  • Support the onboarding of new staff with orientation to office policies and resources.
  • Respond to inquiries by email and phone and regularly check the PO box.
  • Oversee office culture and team-building activities.
  • Serve as liaison with national shared services: Technology, People and Culture, and Finance teams.
