About The Position

We are seeking an experienced and detail-oriented Warranty Administrator to join our team. The ideal candidate will be responsible for processing and managing warranty claims for Kia vehicles, ensuring compliance with manufacturer guidelines, and providing excellent customer service. This role requires a strong understanding of automotive warranties, proficiency in handling claims, and the ability to work efficiently in a fast-paced environment.

Requirements

  • Minimum of 2-3 years of experience as a Warranty Administrator, preferably with Kia/Hyundai brands.
  • Strong understanding of automotive warranty procedures and manufacturer requirements.
  • Proficient in using dealership management software and warranty processing systems (e.g., Reynolds & Reynolds, CDK Global, etc.).
  • Excellent organizational and time-management skills.
  • Strong attention to detail and accuracy in processing claims.
  • Ability to work independently and collaboratively within a team.
  • Excellent communication skills, both written and verbal.
  • Problem-solving skills to handle claim rejections and discrepancies effectively.
  • High school diploma or equivalent required; additional technical or automotive training is a plus.

Responsibilities

  • Process warranty claims in accordance with Kia/Hyundai manufacturer guidelines.
  • Ensure all necessary documentation is completed and submitted for warranty claims, including repair orders, parts, labor, and other required documentation.
  • Track and monitor warranty claim status and ensure timely resolution.
  • Review and verify the accuracy of claims before submission to the manufacturer.
  • Liaise with service advisors, technicians, and parts department to gather necessary information for claims.
  • Follow up on outstanding or rejected claims, addressing any discrepancies or required adjustments.
  • Maintain up-to-date knowledge of Kia/Hyundai warranty policies, bulletins, and procedures.
  • Ensure all warranty documentation and processes comply with manufacturer and dealership standards.
  • Prepare and submit regular reports on warranty claims activity, including analysis of claim rejections and adjustments.
  • Conduct audits of warranty files to ensure accuracy and compliance.
  • Keep detailed records of all claims processed, including parts replaced and labor hours.
  • Provide excellent customer service by addressing warranty-related inquiries and concerns from customers.
  • Communicate effectively with customers regarding the status of their warranty claims and any potential costs associated with repairs not covered by warranty.
  • Work closely with the service department to ensure a seamless customer experience.
  • Stay current with Kia/Hyundai training programs related to warranty administration.
  • Assist in training service staff on warranty processes and updates.
