About The Position

The Warehouse & Inventory Manager is responsible for the strategic oversight and daily operations of the organization’s warehouse, materials inventory, tools, and equipment. This role ensures that field staff and volunteers have the materials, supplies, and equipment necessary to complete projects safely, efficiently, and on schedule. The Warehouse & Inventory Manager may also provide leadership and guidance to technicians and volunteers utilizing warehouse resources to ensure materials, tools, and equipment are distributed and returned according to established procedures. The Warehouse & Inventory Manager oversees procurement, inventory control, warehouse logistics, and tool/equipment tracking while maintaining accurate inventory and cost records within the organization’s ERP system. This position works closely with operations leadership, project managers, technicians, and vendors to support program delivery and operational efficiency. This role also ensures warehouse safety, equipment reliability, cost-effective purchasing, and a high level of service to staff and volunteers.

Requirements

  • Strong knowledge of warehouse operations, inventory control, and logistics management.
  • Experience with ERP or inventory management systems.
  • Proficiency with Microsoft Office (Word and Excel).
  • Strong organizational and time management skills.
  • Ability to track purchasing trends and inventory costs.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong communication and vendor relationship management skills.
  • High School diploma or GED required.
  • Minimum 5–7 years of warehouse, logistics, or inventory management experience.
  • Minimum 3–5 years of experience with inventory control systems or ERP systems.
  • Must have valid driver’s license and ability to be insured under the agency’s vehicle policy.
  • Forklift certification or ability to obtain certification required.
  • Frequent standing, walking, bending, and lifting.
  • Lifting and carrying materials up to 50 pounds.
  • Climbing ladders as necessary.
  • Operating warehouse equipment such as forklifts.
  • Working in varying indoor warehouse temperature environments.
  • Standing for extended periods while processing inventory and preparing materials.

Nice To Haves

  • Knowledge of residential construction materials, tools, and equipment preferred.
  • Experience working with construction materials, tools, and equipment strongly preferred.
  • Experience supporting construction, home repair, or field service operations preferred.

Responsibilities

  • Oversee daily warehouse operations including receiving, storage, organization, and distribution of materials, tools, equipment, and supplies.
  • Maintain accurate inventory records and ensure timely processing of inventory transactions in the ERP system.
  • Monitor and manage inventory levels to ensure adequate supply for field operations while minimizing excess inventory and waste.
  • Conduct regular cycle counts and inventory reconciliation to maintain inventory accuracy.
  • Lead semi-annual full physical inventory audits.
  • Develop and maintain organized warehouse systems including labeling, storage processes, and inventory controls.
  • Maintain a clean, safe, and efficient warehouse environment.
  • Serve as the primary liaison between the organization and vendors for materials, tools, supplies, and equipment.
  • Obtain competitive quotes and manage purchasing to ensure quality, availability, and cost control.
  • Manage ordering, shipment tracking, and delivery coordination.
  • Develop and maintain relationships with vendors and suppliers.
  • Monitor purchasing patterns and identify opportunities for cost savings or improved efficiency.
  • Maintain accurate inventory of all organizational tools and equipment.
  • Track and manage tool and equipment distribution to field staff and volunteers.
  • Reconcile tools and equipment upon job completion.
  • Maintain service schedules and maintenance logs for all tools and equipment.
  • Coordinate repair, replacement, and preventative maintenance to ensure operational readiness.
  • Communicate with technicians regarding truck stock and job readiness needs.
  • Collaborate with operations leadership and project teams to forecast materials needed for projects.
  • Ensure technicians and volunteers have materials and tools ready for scheduled work.
  • Track materials usage across projects and programs for cost allocation and reporting.
  • Provide backend administrative and accounting support related to purchasing, inventory tracking, and project materials.
  • Provide responsive and professional service to staff, volunteers, and vendors.
  • Support volunteer build days by preparing and staging tools and materials.
  • Communicate regularly with field technicians regarding material availability and equipment needs.
  • Notify leadership of safety concerns, warehouse maintenance issues, equipment problems, or operational risks.
