About The Position

We are seeking a dedicated Foreign Trade Zone (FTZ) Operations Coordinator to serve as the central point of contact for all activities related to Carrier Puerto Rico's Foreign Trade Zone operations. Reporting to the Operations Manager with a dotted line to the President, you will manage FTZ inventory, ensure import/export compliance, and coordinate logistics and customs-related functions. This role focuses on providing exceptional internal and external stakeholder support to ensure the timely, compliant movement of goods throughout our supply chain.

Requirements

  • Associate degree (AA/AS) in business, logistics, supply chain management, or related field, OR Technical/business certificate or equivalent post-secondary training
  • Minimum 2 years in customer service, logistics, freight forwarding, or import/export compliance
  • Advanced Microsoft Excel skills (pivot tables, VLOOKUP, macros preferred)
  • Proficiency with FTZ inventory software such as Magaya or similar platforms
  • Strong command of Microsoft Outlook, Word, and Excel
  • Familiarity with CBP filing procedures (EEI, BOL, Airway Bills)
  • Ability to establish and maintain comprehensive digital and physical filing systems
  • Bilingual fluency in English and Spanish (both written and spoken)
  • Exceptional ability to manage complex documentation and maintain accurate records
  • Strong written and interpersonal communication skills; ability to interact professionally with diverse stakeholders
  • Capability to resolve conflicts, negotiate delivery timelines, and find creative solutions to operational challenges
  • Proactive approach to identifying opportunities for improvement and taking ownership of responsibilities

Nice To Haves

  • Foreign Trade Zone (FTZ) experience is strongly preferred
  • Demonstrated success managing multiple priorities in a fast-paced environment
  • Valid driver's license (preferred)

Responsibilities

  • Maintain and update the FTZ inventory database (Magaya or equivalent) including receipt, tracking, and reconciliation of all stock
  • Upload export/import documentation into FTZ software systems and manage CBP file closures
  • Conduct regular inventory and documentation audits to ensure accuracy and regulatory compliance
  • Serve as primary liaison with U.S. Customs & Border Protection (CBP), bonded warehouse personnel, and customs brokers
  • Review and verify Bills of Lading, Airway Bills, EEI filings, and export documentation for compliance prior to final audit
  • Ensure proper handling of bonded documentation and coordinate duty payments and financial reconciliation with Finance
  • Arrange optimal routing with third-party logistics (3PLs) providers, freight forwarders, and trucking companies
  • Provide shipping details, weight/dimension specifications, MSDS documentation, and IMO data to logistics partners
  • Track shipments in real time, obtain proof of delivery, and promptly resolve freight discrepancies
  • Reroute orders as needed and communicate status updates to internal teams and customers
  • Receive and process requests from internal teams and external customers via phone, email, and in-person regarding order status, product availability, invoicing, and dispute resolution
  • Serve as the primary point of contact for customers, freight agents, and vendors for documentation collection and comprehensive status reporting
  • Collaborate with Purchasing and Sales departments on PO status, inventory stocking levels, and delivery scheduling
  • Partner with Finance to calculate landed costs, manage duty payments, and reconcile cost variances
  • Generate regular reports on FTZ activity, out-of-line conditions, and compliance metrics
  • Maintain accurate records of all financial transactions related to FTZ operations
  • Maintain comprehensive, organized filing systems (digital and hard copy) for all FTZ transactions and documentation
  • Escalate issues affecting FTZ operations or customer satisfaction in a timely manner
  • Participate in overtime and after-hours coverage as required by operational demands
