About The Position

The Warehouse Administrator is primarily responsible for supporting the efficient day-to-day operation of the warehouse through accurate inventory control, receiving, material handling, and order fulfillment. This role ensures inventory accuracy by processing stock movements, performing cycle counts, inspecting incoming shipments, and preparing outgoing orders. The position also provides secondary support to front-office functions—including order entry, customer inquiries, and documentation processing—to ensure seamless communication between warehouse, sales, and service teams. This role is essential to maintaining an organized warehouse, timely parts availability for technicians, and responsive customer service across the BSF location. Include the following, but other duties may be assigned.

Requirements

  • High school diploma or equivalent; OR at least two (2) years of work experience in order entry, inventory, shipping, and receiving.
  • Warehouse experience
  • Forklift certified, or able to achieve forklift certification within 30 days of employment.
  • Shipping experience with UPS, FedEx, and freight forwarder processing.
  • Solid computer skills, including Microsoft Outlook, Excel, Word, and database systems.
  • Experience working with inventory systems, ERP transactions, or stock control processes.
  • Demonstrated typing ability.
  • Must be detail-oriented, able to multitask, and capable of prioritizing competing demands.
  • Strong customer-service focus accompanied by a high level of professionalism.
  • Self-starter with the ability to resolve issues and research solutions independently.
  • Ability to work under pressure and with minimal supervision in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Ability to comprehend and respond to internal customer needs in a timely manner.

Nice To Haves

  • Associate’s Degree in Business Administration or other related field.
  • Experience with an ERP system, Made2Manage (M2M) preferred.
  • Knowledge of processing HAZMAT documents a plus.

Responsibilities

  • Responsible for receipt of BAUER and MSA spare parts and compressor units.
  • Inspect incoming items for damage and accuracy against packing list.
  • Responsible for packing and shipping spare parts orders, complimentary parts orders, RMAs, etc. to customers or Home Office.
  • Maintain a neat and organized warehouse.
  • Process inventory movement transfers in ERP system for all inventory transactions.
  • Complete inventory cycle counts monthly.
  • Maintain inventory minimum stock levels and place stock transfer requests through Home Office.
  • Partner with Service Coordinator on parts needed for upcoming jobs to add to stock transfer requests.
  • Review service schedule for upcoming jobs; pull BAUER parts for Technicians to pick up weekly.
  • Print shippers to pull MSA/complimentary products for Sales Representatives to deliver as needed.
  • Receive customer calls and route to the appropriate team, or place spare parts orders into the ERP system as needed.
  • Partner with BSF office staff and Home Office as needed with updates and delays on processed orders.
  • Partner with Office Administrator and sales staff to maintain trade show booth/supplies, complimentary items, and sales samples.
  • Assist BSF office staff with data entry, quotes, order entry, order follow-up, and processing shipping documents through the ERP system (Made2Manage).
