Volunteer Services Coordinator III Performs volunteer services work including organizing, directing, publicizing, and coordinates volunteer services activities; works with local groups and stakeholders promoting facility and services of clients and patients, providing technical assistance to encourage the growth and development of individuals’ recovery and well-being. This position will assist with the development of educational and training materials and programmatic planning. Attends planned events and supports the department in furtherance of goals by speaking, educating the public; ensures the best use of budget allocation by tracking and monitoring expenditures. Performs data entry to log activities and assists in preparing reports and developing training materials. Performs other duties as assigned. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.

Requirements

  • Knowledge of community organization and administration and general principles of volunteer services.
  • Knowledge of grant funding and the rules and laws surrounding grand awards.
  • Advanced computer skills.
  • Skilled in fostering and maintaining positive relationships.
  • Skilled in the use of Microsoft applications to include Office, Outlook, Excel, PowerPoint.
  • Skilled in research best practices.
  • Ability to plan, promote and implement community service programs that support the facility.
  • Ability to speak and write effectively.
  • Ability to work effectively with professional and non-professional staff.
  • Ability to work effectively with community members and stakeholders.
  • Ability to work effectively with minimal supervision and make varied decisions within broad parameters.
  • Ability to work with facility mission and service/workplace values.
  • Must possess valid Texas driver’s license or obtain it no later than 90 days after hire date. Applicants with an out-of-state driver’s license must provide an original certified driving record from the state of driving licensure. Eligible driving record required based on HHSC Fleet Management policy.
  • Associate degree from an accredited college or university with a major in marketing, public relations, volunteer or non-profit management and one (1) year of direct experience in marketing, public relations, volunteer services work or non-profit management.
  • Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, List of Excluded Individuals/Entities (LEIE). Males between the ages of 18-25 must be registered with the Selective Service.
  • All applicants must be at least 18 years of age to be considered for employment at a state-operated facility.
  • Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required.

Nice To Haves

  • Graduation from an accredited four-year college or university with major coursework in behavioral science, business administration and two years of experience preferred.
  • Two years of Experience in Salesforce volunteer or donor database preferred.

Responsibilities

  • Attends work on a regular basis and may be asked to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
  • Interprets HHS and HSCS policy related to volunteer services activities and rules. Assists in educating staff and volunteers to ensure adherence to those policies, purpose, and programs to area communities through technical assistance, public engagements, the media, and onsite events.
  • Assists in the solicitation of contributions and donations to expand services and quality of treatment and/or recovery. Provides support to the Volunteer Services Council and Family Association as a non-voting member as a resource when the Volunteer Services Coordinator IV is unavailable. Assists the Volunteer Services Council and Family Association in determining appropriate fundraisers. Researching funding opportunities which may include grants and community awards utilizing local business donations, various grants found on Grants.gov, GrantStation, Grant Watch and Philanthropy news digest and submitting those opportunities for leadership review.
  • Coordinates programs with hospital staff and leadership for recruitment, selection, orientation, assignment for volunteers. Provides assistance with matching patient and clients' needs with volunteers' skills.
  • Maintains fiscal parameters established during event planning for expenditures and activities by maintaining expenditure logs, contributions obtained, and contributions expected or awarded. Prepares tracking mechanisms to prepare and create reports for all related volunteer services activities and events.
  • Performs special assignments as requested by leadership. Will assist volunteers and staff while formulating and planning events.
  • Performs other duties as assigned.
