About The Position

The Volunteer Resources Operations Coordinator serves as the primary point of contact for volunteers, pet therapy volunteers, staff, and community partners, requiring excellent communication skills, diplomacy, and sound judgment. This role provides high-level customer service and administrative support to the Volunteer Resources team, ensuring a welcoming, organized, and responsive volunteer office environment. The ideal candidate is service-oriented, detail-driven, and skilled at managing multiple priorities in support of a mission-driven volunteer program. The Operations Coordinator is responsible for executing Volunteer Resources operational workflows, ensuring processes defined by leadership are carried out consistently, accurately, and in compliance with organizational standards. This role monitors day-to-day operational execution, identifies gaps or risks, and escalates issues or improvement opportunities to leadership as appropriate. This position oversees the administrative execution of volunteer onboarding, including scheduling, documentation, system entry, and coordination to ensure a smooth and timely onboarding experience for volunteers. Reporting to the Director of Volunteer Resources, the Operations Coordinator collaborates with cross-functional teams to support effective communication, operational alignment, and accountability across volunteer programs.

Requirements

  • GED or High school diploma is required.
  • Minimum of 2 years of administrative, office coordination, or customer service experience.
  • Strong customer service skills with the ability to interact professionally and with diplomacy.
  • Diplomacy in a volunteer office at a children’s hospital is the ability to speak with empathy, uphold standards with consistency, maintain confidentiality of volunteer issues, and protect relationships.
  • Excellent digital and paper record maintenance of volunteer documentation including hours worked, vaccine records, pet therapy records, annual education, etc.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, Teams); ability to learn internal systems.
  • Ability to manage multiple priorities in a fast passed environment greeting volunteers, students, and staff and keeping up on documentation.
  • Pet Therapy volunteers and their dogs come into the volunteer office for each shift. Must like dogs and be comfortable engaging with all breeds, sizes, ages, and ones with special needs.

Nice To Haves

  • Associates degree or higher
  • 2 years in a hospital operations support role .
  • Experience with Volgistics, or other volunteer management applications.
  • Experience working for a volunteer organization.
