About The Position

This is professional work assisting Vocational Rehabilitation Counselors with casework providing services to eligible individuals with disabilities related to the coordination of consumer activities or special projects and in compliance with Federal and State requirements, and monitoring client/reimbursement activities.

Requirements

  • A bachelor’s degree from an accredited college or university.
  • Experience in a counseling, job placement, job coaching or public vocational rehabilitation program can substitute on a year-for-year basis for the required education.
  • Employee must be productive under tight timeframes, balance multiple and competing priorities and maintain goal-directed behavior and performance sometimes under stressful conditions; the employee must interact courteously with others; employee’s performance and behavior must demonstrate consideration of the workload concerns of others and must not negatively affect productivity and morale of the unit.

Responsibilities

  • Maintains cooperative relationships and communicates effectively.
  • Performs work in line with the Division’s vision and principles, with acceptable responsiveness and accuracy.
  • Demonstrates strong work habits, accountability, and ownership.
  • Attends meetings, participates in case staffing and training, and provides technical assistance.
  • Manages and tracks activities associated with the authorization process in the Area.
  • Identifies area-wide activities and necessary resources (both internal and external) with the Area Leadership Team.
  • Consults (regularly) with the Area Director, Financial Payments Office (FP), and Bureau of Vendor and Contracted Services (BVCS) to identify issues, trends, and process improvements.
  • Improves overall fiscal process alignment, performance, and efficiencies affecting daily operations.
  • Monitors and coordinates authorization, payment and fiscal reporting corrections needed within the area in collaboration with FP, BVCS and Area Leadership.
  • Reports on real-time updates about changes in the financial processes to VR staff.
  • Reviews authorization errors for all VRT staff in Area.
  • Improves Payment Processing through effective technical assistance and staff development.
  • Implements and evaluate technical assistance and professional development initiatives for Area employees using efficient methods to meet the Area's needs, as instructed by the Area Director, Financial Payments and the Bureau of Vendor and Contracted Services.
  • Provides accurate, aligned, and data-driven technical assistance and consultation specific to area fiscal processes.
  • Coordinates projects and disseminates validated findings resulting from reviews and analysis to assist the Area in improving fiscal processes.
  • Ensures all efforts align with division requirements, goals, and objectives as outlined in the DVR Strategic Plan.
  • Works with Financial Payments Unit to ensure proper payment and resolution of issues.
  • Provides regular reports to management.
  • Provides data, information, analysis, and reports.
  • Regularly collaborates with Financial Payments (FP), and the Bureau of Vendor and Contracted Services (BVCS) to support aligned and informed decision-making and achieve DVR requirements and priorities.
  • This includes attending and actively participating in BVCS meetings relevant to this role.
  • Communicates with vendors, staff, community rehabilitation providers, community partners, and employers to expedite services for new and existing customers.
  • Assists in identifying resources of comparable benefits in the community.
  • Provides comparison costs for purchases.
  • Assists vendors with researching payments that have not been resolved at unit office(s).
  • Identifies practices with internal and external customers that can result in creating a need for POP authorizations. Track and monitor through resolution.
  • Research authorization and fee code problems for Area staff.
  • Researches warrant payment status, cancellations, duplicate warrants, unredacted warrants, and copies of warrants.
  • Creates authorizations for closed cases.
  • Documents activities in customers’ case records.
  • Serves as the area subject matter expert for activities related to fiscal payment processes.
  • Provides 1:1 support for VRT staff who requires additional support. Travel may be required as needed.
  • Performs other duties as required.
