About The Position

The VP of Administration & Operations will serve as the "integrator" and operational backbone of the multifamily division. Reporting directly to the EVP of Operations, you will bridge the gap between high-level strategic vision and daily execution. Your mandate is to optimize organizational efficiency, build scalable infrastructure, and ensure that the corporate platform supports our aggressive growth targets. This role requires a hybrid skillset: part strategist, part project manager, and part systems architect. You will not only oversee the administrative functions but also drive the technology stack, vendor relationships, and cross-departmental workflows that keep the asset management engine running.

Requirements

  • Experience: 10+ years of operations or asset management experience in the real estate sector (Multifamily preferred), with at least 3–5 years in a senior leadership role.
  • Education: Bachelor’s degree in Business Administration, Real Estate, Finance, or related field. An MBA or advanced degree is a plus.
  • Technical Proficiency: Deep expertise in property management software (Yardi/RealPage/Entrata) and project management platforms (Asana/Monday.com). Advanced Excel and data visualization skills are highly valued.
  • The "Integrator" Mindset: The ability to take a visionary concept and break it down into actionable steps.
  • High EQ: Capable of navigating complex interpersonal dynamics between corporate leadership, investors, and site-level teams.
  • Resilience: Comfortable working in a high-paced, deadline-driven environment where priorities can shift rapidly.

Responsibilities

  • Operational Strategy & Process Architecture
  • Workflow Optimization: Audit, design, and enforce Standard Operating Procedures (SOPs) across the division to ensure consistency from corporate headquarters to site-level leasing offices.
  • KPI Management: Collaborate with the EVP to define, track, and report on key operational metrics. Design dashboards to provide real-time visibility into portfolio health, occupancy, and leasing velocity.
  • Change Management: Act as the primary driver for organizational change, ensuring that new initiatives are effectively communicated, trained, and adopted by regional and site teams.
  • Scalability Planning: Identify bottlenecks in current operations and implement solutions that allow the portfolio to grow without proportional increases in overhead.
  • Technology & Systems Leadership
  • Tech Stack Ownership: Oversee the evaluation, implementation, and optimization of the PropTech ecosystem, including property management software (e.g., Yardi, RealPage, Entrata), CRM systems, and AI-driven tools (e.g., EliseAI).
  • Data Integrity: Serve as the guardian of operational data. Ensure that the inputs feeding financial reports and investor dashboards are accurate and timely.
  • Innovation: Stay ahead of industry trends to identify tools that automate manual tasks, enhance the resident experience, or reduce operating costs.
  • Administrative Oversight & Vendor Management
  • Team Leadership: Manage and mentor administrative support staff and operations coordinators, fostering a culture of accountability and precision.
  • Vendor Strategy: Negotiate and manage Master Service Agreements (MSAs) and national vendor contracts to leverage economies of scale across the portfolio.
  • Compliance & Risk: Work with legal counsel to ensure all operational activities meet regulatory standards (Fair Housing, OSHA, etc.) and that insurance requirements are meticulously maintained.
  • Corporate Logistics: Oversee office operations and internal communications, ensuring a cohesive culture between the corporate office and field teams.
  • Acquisition & Disposition Support
  • Due Diligence Coordination: Manage the logistical aspects of the due diligence process for new acquisitions, including file audits, lease abstracting, and physical inspection scheduling.
  • Transition Management: Lead the operational onboarding of new assets, ensuring "Day 1" readiness regarding utilities, software access, banking, and staffing.
