About The Position

The University of Florida’s Department of Pediatrics is seeking an experienced Vice Chair of Administration to provide strategic and operational leadership for a large, complex academic department spanning 21 divisions and roughly 700 faculty and staff. As a key partner to the Department Chair, this leader will oversee administrative operations across research, education, and clinical missions, ensuring alignment with University and College of Medicine priorities. Requirements

  • Master's degree in an appropriate area and two years of relevant experience; or a bachelor's degree in an appropriate area and four years of relevant experience.

Responsibilities

  • Directly supervise six administrative leaders overseeing Education, Research Administration, Clinical Operations, Human Resources, Finance, and Divisional Administration.
  • Oversee daily administrative operations across academic, clinical, teaching, and research missions.
  • Lead the implementation of University, College of Medicine, UFP/FCPA, and UF Health policies and process changes, while fostering a culture of transparency, accountability, and team empowerment.
  • Drive continuous process improvement through training, mentorship, and structured professional development plans that support team growth and alignment with departmental goals.
  • Implement policies that strengthen efficiency and compliance, ensuring timely, accurate stakeholder communication.
  • Identify opportunities to strengthen academic, research, and clinical programs.
  • Support development and execution of departmental strategic plans.
  • Coordinate with faculty and leadership to align departmental goals with institutional priorities.
  • Work closely with the Department Chair to advance departmental goals and initiatives.
  • Support divisional and functional administrators to ensure cohesive, coordinated operations.
  • Develop and manage the department’s budget, including forecasting and long-term financial planning.
  • Monitor financial performance while overseeing grant administration and research funding, to ensure adherence to budgetary expectations and fiscal accountability.
  • Serve as the department’s senior fiscal officer, ensuring compliance with all College, UF Health, and University financial policies and procedures.
  • Oversee recruitment, hiring, onboarding, and training of administrative staff, as well as oversee functions including employee relations, performance evaluations, and professional development initiatives.
  • Ensure compliance with university HR policies and labor laws.
  • Support faculty with research proposal development and submission.
  • Oversee research project administration and regulatory compliance.
  • Facilitate partnerships and collaborations to advance research initiatives.
  • Oversee faculty recruitment, appointments, promotions, and tenure processes.
  • Ensure timely completion and communication of annual faculty evaluations.
  • Support curriculum development, scheduling, accreditation, and academic records.
  • Support recruitment, admissions, and advising for UME learners, graduate students, residents, and postdoctoral fellows.
