Job Summary:
Swaybox Studios is seeking a highly organized and detail-oriented VFX Coordinator to support the planning, tracking, and delivery of visual effects across all phases of production. The ideal candidate will not only excel at coordinating internal teams and schedules but also bring direct experience managing relationships with VFX vendors to deliver high-quality, timely, and cost-effective work. The VFX Coordinator is a linchpin in the production process, helping manage daily priorities, organize dailies sessions, communicate notes, and track shots, sequences, and assets across internal and vendor pipelines. This is an ideal position for someone who thrives in a fast-paced creative environment and has a deep respect for the VFX production process.

Requirements

• Experience coordinating VFX for film, episodic, or animation, ideally in a fast-paced production studio.
• Experience coordinating with third-party VFX vendors.
• Proficiency with production tracking software (ShotGrid/FPT), Microsoft Office and/or Google Workspace (Docs, Sheets, Slides, etc.).
• Strong organizational skills and attention to detail, with the ability to manage multiple priorities under tight deadlines.
• Excellent communication skills, both written and verbal, with the ability to clearly translate creative and technical notes across teams.
• A proactive, adaptable mindset with strong problem-solving abilities and a collaborative spirit.

Nice To Haves

• Previous experience working on high-end VFX productions or hybrid animation pipelines.
• Familiarity with VFX production stages, editorial needs, and interdepartmental workflows.
• Understanding of the filmmaking process, from pre-production through post, and the varying needs of each department.
• Ability to interpret scheduling and budgeting goals in a creative context, identifying efficiencies where possible.

Responsibilities

• Support the VFX Producer and Supervisors in managing day-to-day production workflows, schedules, and priorities.
• Maintain tracking database (ShotGrid/Flow Production Tracking) keeping shot assignments, status updates, and delivery deadlines are accurate and current.
• Organize and attend vendor calls, shot reviews, and dailies sessions, capturing key information and clearly communicating it to artists and leads.
• Help keep VFX deliveries on schedule and budget by assisting with schedule maintenance, task distribution, and deadline tracking.
• Provide clear and concise production updates between internal teams and external vendors, flagging any risks or delays in a timely manner.
• Coordinate file deliveries and incoming material across departments, maintaining logical file structures and version control.
• Collaborate with department leads to anticipate and resolve scheduling, resource, or workflow issues before they affect delivery.
• Support overall team morale by serving as a positive and reliable point of communication and problem-solving.
