About The Position

Riverbank Animal Hospital is seeking a full-time Customer Service Professional to serve as the knowledgeable and welcoming face at their front desk. This role extends beyond typical administrative duties, focusing on providing informed service and confidently communicating in veterinary care terminology. The ability to discuss vaccines, explain procedures, and coordinate appointments is crucial for smooth operations, strong client relationships, and improved patient outcomes. The hospital is dedicated to offering the best care with modern facilities and equipment, supporting its team members in both their professional and personal lives. Riverbank Animal Hospital, located in Kinston, North Carolina, is a full-service veterinary clinic led by Dr. Julie Garren. They provide comprehensive medical, surgical, and dental services for small animals, including cats and dogs, primarily by appointment, but also accommodate limited walk-ins and emergencies. Their surgical services include routine procedures like spaying and neutering, as well as soft-tissue and orthopedic surgeries. Additionally, they offer boarding services and collaborate with local shelters to support animal welfare, treating all pets as valued family members.

Requirements

  • Previous experience in a medical or veterinary front desk, receptionist, or administrative assistant role
  • Basic knowledge of veterinary terminology and procedures
  • Comfort discussing sensitive topics (e.g., end-of-life care, financial discussions) with empathy
  • Ability to maintain a calm, professional, and positive demeanor

Responsibilities

  • Be the first point of contact: Greet clients and their pets warmly, complete the sign-in process, verify and confirm appointment details, and ensure clients feel informed and reassured.
  • Support clinical flow: Escort clients to exam rooms, assist in relaying key information between clients and clinical staff.
  • Manage client communications: Handle incoming calls for appointments, care questions, prescription refills, and more. Make outbound calls for appointment reminders and follow-up care.
  • Operate with accuracy: Process payments, manage invoicing, and schedule future appointments with attention to detail.
  • Speak the language: Understand and communicate clearly about common vaccines, lab tests, procedures, pet behavior, and veterinary terminology.
  • Create a welcoming space: Help maintain a clean, organized, and client-ready environment—including occasionally assisting with pet-related clean-up to ensure a pleasant experience for all visitors.
