About The Position

Charleston Veterinary Referral Center is hiring a full- time Veterinary Coordinator to support our Neurology team! If you love working in a fast- paced environment and want to increase your knowledge and skills, we would like to meet you! ​​​A little about the Role: The Specialty Department Coordinator will work closely with the medical staff, doctors, the Client Care department, and clients, acting as a liaison between parties. This role is instrumental in facilitating effective communication, coordination, and collaboration both within the specialty department and the client care department. The Specialty Department Coordinator will facilitate communication from the respective department to clients. Requirements

  • At least 2 years of veterinary experience.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize tasks and to delegate them when appropriate.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Strong work ethic and positive attitude
  • Excellent communication skills, verbal & written, with doctors, coworkers, and clients
  • Maintain a professional, positive, and encouraging attitude.

Responsibilities

  • Present treatment plans and handle financial transactions for patients with accuracy and professionalism.
  • Handle all department appointment check outs., schedule follow up appointments if necessary.
  • Call for referring DVM (rDVM) records for patients and ensure they are prepared and attached to the patient’s record.
  • Regularly monitor the department email, voicemail, eReferrals and eBookings, responding and scheduling appointments appropriately.
  • Ensure all CPR statuses are documented and current.
  • Monitor prescription requests through multiple platforms, communicate with pharmacies to ensure patient medications are filled after approval.
  • Ensure all patient and client information is accurate and up to date.
  • Provide what assistance is necessary in completing pet insurance claims.
  • Prepare outside referrals and requests for patients when needed.
  • Continue to work as a primary and key client care representative within the department to maintain service quality and efficiency.
  • Facilitate the sharing of finalized medical records with rDVMs and clients.
  • Monitor and manage multiplatform communications (e.g., text, email, walkie, specialized apps).
  • Facilitate and prioritize euthanasia services for specialty patients, ensuring all necessary paperwork and financial arrangements are completed sensitively and efficiently.
