About The Position

Rye Harrison Veterinary Hospital is hiring a full-time Hospital Administrator to oversee daily operations, maintain accurate records, support clients and team members, manage inventory and vendor billing, assist with payroll and onboarding, and ensure an exceptional hospital experience. Salary: $28 - $30 per hour, determined by the candidate's skills, experience, and qualifications. Schedule: This is a full-time position, Monday through Friday from 7:30 AM to 5:30 PM, with occasional weekend flexibility as needed. Located in the city of Rye, New York, our doctors and staff serve the surrounding communities in Westchester County, New York, and Fairfield County, Connecticut.

Requirements

  • Previous experience as a veterinary receptionist or medical office assistant preferred
  • Strong organizational and multitasking skills
  • Ability to maintain a calm, professional, and positive demeanor
  • Highly tech-savvy with the ability to quickly learn administrative systems; interest in growing into a technical support role is strongly preferred.

Responsibilities

  • Review daily records to ensure charges and medical notes are accurate and complete
  • Communicate with doctors and team members to resolve questions or discrepancies
  • Follow up on lab results and client communication when needed
  • Assist with monthly statements, reminders, and client correspondence
  • Review vendor invoices and third-party billing for accuracy
  • Support new client processes and referral programs
  • Assist with select payroll and administrative tasks
  • Manage ordering and inventory for prescription food
  • Help onboard new team members, including software training
  • Process client refunds and returns
  • Complete monthly wellness plan audits
  • Provide excellent customer service and help resolve client concerns
