About The Position

We are seeking a dedicated Vendor Rebate Specialist to join our team. This role involves reviewing and reconciling quarterly spend data from over 90 locations and national vendors. You will work extensively in Excel to clean, organize, and consolidate large datasets, review invoices and backup documentation, and support multiple rebate and incentive programs.

Requirements

  • 5+ years of experience in an administrative-related role requiring high-level MS Excel use.
  • Strong comfort working in Microsoft Excel, including copy/paste, sorting, filtering, moving columns, and cleaning data.
  • High attention to detail and ability to stay focused on repetitive tasks.
  • Willingness to work through ambiguity.
  • Ability to sit at a computer and work with data most of the day.
  • Good communication skills and a willingness to ask questions.
  • Proficiency in Pivot Tables and Vlookup.

Nice To Haves

  • Reconciliation experience is advantageous.
  • Database or Microsoft Access experience is preferred.
  • A degree is preferred.
  • Proficiency in Pivot Tables and Vlookup is beneficial.

Responsibilities

  • Review and reconcile quarterly spend data from 90+ locations and national vendors.
  • Work extensively in Excel to clean, organize, and consolidate large datasets.
  • Review invoices and backup documentation such as Excel files and PDFs.
  • Identify eligible spend and allocate invoices across multiple programs when needed.
  • Compare reported spend to calculated totals and investigate discrepancies.
  • Communicate with internal teams to clarify data or request missing information.
  • Organize and name documentation for easy reference in future quarters.
  • Support multiple rebate and incentive programs simultaneously.
  • Meet quarterly deadlines while maintaining accuracy.
