Vendor Compliance Manager

About The Position

The Vendor Compliance Manager will play a key role in driving the company's commitment to efficient operations. This position is responsible for identifying, reporting and tracking non-compliant products and suppliers according to set requirements and policies, while simultaneously managing the various requirements of customers. The goal is to reduce customer fines by analysis of issues driving non-compliance and working with appropriate teams to determine root cause, remedy and challenge charges, when necessary.

Requirements

  • Bachelor’s degree
  • 3-5 years’ experience in Vendor Compliance
  • Strong writing and communication skills while being highly detailed oriented
  • Must be able to gain and retain proficiency in procedures and documentation required by the company relevant to this department
  • Demonstrated success in developing quantitative and qualitative analytical tools to assess compliance
  • Excellent time management/project skills
  • Ability to communicate results and to thrive in a fast-paced environment
  • A self-starter able to work independently, leading and managing multiple projects
  • High degree of flexibility; comfortable with small department
  • Strong knowledge of Microsoft Office and general database programs

Responsibilities

  • Develop and maintain policies and procedures for effectively meeting all relevant compliance business requirements
  • Collaborate and communicate with relevant teams, partners, customers, etc…
  • Communicate ’47 and Customer compliance requirements to the following teams: Supply Chain leadership, Customer Service, Sales, Domestic Production, Purchasing, Distribution Centers, Accounting, and IT
  • Work with ley stakeholders to mitigate chargebacks for non-compliance.
  • Access customer portals to retrieve and research relevant information on policies and procedures
  • Maintain up-to-date files of all customers’ Vendor Compliance (Routing, Supplier Compliance) manuals
  • Assess the manuals, compare to current capabilities and document any discrepancies to support continuous improvement goals and chargeback reduction
  • Communicate customer compliance requirements to relevant teams
  • Track customer chargebacks and work with Customer Service and Sales to mitigate chargebacks for non-compliance
  • Access customer portals to retrieve and dispute chargebacks
  • Create chargeback presentation for internal quarterly communications showing detail of non-compliance
  • Work with internal and external partners to obtain information required to dispute invalid charges
  • Maintain the ’47 compliance manual with all teams in Supply Chain
  • Work with key stakeholders across supply chain to keep the VCM compliant and up to date on ’47 business practices’
  • Update Yearly and send to all vendors a new version of the vendor compliance manual calling out changes and requiring vendor signature
  • Support suppliers in their questions regarding ’47 and customer compliance requirements’ (ticketing, carton labeling, packaging, etc.)
  • Work with internal teams and suppliers to identify compliance issues and solutions
  • Work with Supply Teams to maintain supplier scorecards regarding vendor compliance performance
  • Work with Purchasing and Logistic teams to Monitor incoming shipments to proactively ensure compliance against Vendor Compliance Manual requirements
  • Manage chargebacks to suppliers for noncompliance
  • Work with development teams in Headwear and Apparel to identify materials used in products and have tested with nominated laboratories to assure compliance with industry standards
  • Maintain documentation and able to provide test reports when required
  • Work with logistics team on E-Filing report needs
  • Work with nominated RFID vendors making sure RFID needs are up to date and compliant with customer and industry standards
