About The Position

We are looking for a Vendor Acquisition Specialist who is responsible for sourcing and qualifying subcontractors to support operational demand across multiple states and scopes of work. This role owns the front end of the vendor pipeline—from lead generation through activation readiness—ensuring vendors are fully documented, compliant, and prepared for successful handoff to Vendor Success and Operations. This position plays a critical role in maintaining vendor coverage and ensuring data accuracy within the Vendor Management System (VMS).

Requirements

  • Experience in vendor sourcing, subcontractor onboarding, recruiting, or supply chain operations
  • Strong English written and verbal skills
  • Strong organizational skills with close attention to detail
  • Experience managing pipelines, CRMs, or VMS platforms
  • Ability to manage multiple vendors and priorities in a fast-paced environment

Nice To Haves

  • Experience in construction, telecommunications, utilities, or infrastructure industries (preferred)
  • Experience building reports or dashboards (Excel, Google Sheets, BI tools) (preferred)
  • Exposure to workflow automation or process optimization initiatives (preferred)
  • Familiarity with subcontractor compliance and insurance requirements (preferred)

Responsibilities

  • Lead vendor sourcing and pipeline strategy to ensure consistent subcontractor lead flow aligned with operational demand
  • Identify qualified subcontractors by state, scope, and capacity
  • Source vendors through industry networks, referrals, directories, cold outreach
  • Monitor and report market coverage gaps and capacity shortages by geography and scope
  • Manage outreach execution, lead tracking, and pipeline hygiene to ensure accurate statuses, notes, and follow-ups
  • Maintain clean, up-to-date vendor records in the Vendor Management System (VMS)
  • Oversee and update the VMS with new leads and status changes
  • Drive onboarding quality control to ensure activated vendors are fully documented, compliant, and operationally ready
  • Prevent incomplete or non-compliant vendors from advancing downstream
  • Identify process improvements, automation opportunities, and standardized templates/checklists to reduce onboarding friction and improve efficiency
  • Perform other duties as assigned in support of vendor acquisition and onboarding operations
