About The Position

The Vending Coordinator will be responsible for coordinating service operations related to beverage systems includes dispatching technicians, tracking repairs and maintenance, managing parts inventory, processing work orders, and providing excellent administrative and customer support.

Requirements

  • Administrative experience in equipment maintenance, HVAC, or beverage system service preferred.
  • Strong organizational and data-entry skills with attention to detail.
  • Experience with service/dispatch software and basic Microsoft Office or ERP systems preferred.
  • Excellent communication and customer service abilities.
  • Ability to multitask in a fast-paced environment and coordinate multiple service calls.
  • High school diploma or equivalent (some college coursework in business or logistics preferred).

Responsibilities

  • Work Order Management: Receive, log, and assign incoming repair and maintenance requests.
  • Generate, track, and close service tickets and preventative maintenance schedules.
  • Ensure accurate entry of service details, parts used, and technician labor times.
  • Technician Coordination: Schedule and dispatch service technicians based on skill set, location, and availability.
  • Communicate daily priorities, job details, and service expectations to field teams.
  • Customer Support: Communicate job updates and service confirmations to customers.
  • Assist in resolving service-related inquiries or issues promptly and professionally.
  • Inventory and Parts Administration: Track and manage parts usage and reorders for common beverage system components.
  • Maintain records of equipment installations, removals, and replacements.
  • Develop full understanding of inventory control.
  • Documentation & Reporting: Maintain service logs, warranty information, and equipment asset files.
  • Compile daily, weekly, and monthly repair and performance reports, supporting future KPI measures.
  • Ensure compliance with preventative maintenance schedules and safety policies for local and national accounts.
