About The Position

The Unit Operations Coordinator will be a support position directly to the Medical Surgical unit .  The primary function is to support the department with coordination of daily unit operational duties, including but not limited to data management, routine compliance reports, correspondence with staff and leaders, coordination and preparation for orientation, meetings, in-services, and education events, supports the learning management system, student placements, the American Heart Association program, and provides clerical support to all members of the department.

Requirements

  • Degree in secretarial science or business administration preferred
  • Three years recent experience in administrative/secretarial support position
  • Two years’ experience in a hospital or health care environment
  • Experience in scheduling preferred
  • High school diploma or GED required, Associate’s Degree preferred
  • Excellent communication skills, verbal and written
  • Ability to organize work in a self-directed manner
  • Ability to define problems, and deal with complex variables
  • Computer proficiency with Word, Excel, Power Point and manages spreadsheets
  • Ability to read, analyze and interpret collected data, draw conclusions, and applies concepts using concreate or abstract variables
  • Skill in conflict resolution
  • Ability to be effective with diverse educational, cultural, spiritual and socioeconomic backgrounds
  • Ability to work cooperatively with hospital personnel in a manner that builds team spirit

Responsibilities

  • Manages nurse resident schedules utilizing Clarvia and Kronos with UOCs, CNEs and outside departments – supporting day-to-day schedules and changes as well as supporting payroll needs excluding final payroll approval
  • Manages Bridge to Practice classes by scheduling, updating, tracking, and recording attendance
  • Tracks preceptors in Clairvia and collaborates with UOCs to ensure preceptors are accurately and timely assigned to nurse residents
  • Manages the distribution and tracking of Nurse Residency Program Tools and Reports
  • Assists with facilitating Nurse Resident Interviews
  • Assists with PTAP accreditation standards as directed by the NRP & Specialty Track Coordinator
  • Assist with program marketing materials & recruitment strategies
  • Assists with scheduling specialty track classes (e.g., critical care alliance, ECG classes, etc.)
  • Assists with ANA Mass accreditation standards
  • Assists with Student placements & annual student/instructor orientation
  • Collaborates in making courses and course content functional in LMS
  • Collaborates with Office Manager to address and resolve LMS issues
  • Assists Clinical Nurse Educators and others with running reports, data entry, and building classes in the LMS
  • Ensures quality, reliability, and accuracy of all reports, classes, and certificates uploaded to the LMS
  • Supports clinical orientation by identifying, planning, and assigning new employees with initial EMR training classes (Post-EPIC go-live facilitator for ongoing initial training needs)
  • Assists with ongoing clinical orientation through record keeping, data entry, and scheduling classes
  • Supports initial onboarding by assigning LMS modules, creating and revising paperwork, requesting access through the IT portal, managing calendar invites and scheduling presenters
  • Assists with ongoing education events through record keeping, data entry, and scheduling
