About The Position

Performs general clerical duties including acting as receptionist, filing and scheduling, and general office work. Answers citizen concerns in person or by telephone, enters data to prepare and process correspondence and reports as directed, prepares meeting minutes, receipts for funds and/or performs other tasks as directed.

Requirements

  • A high school degree and two years experience in administrative / secretarial office duties may be accepted at the discretion of the Department Head.
  • Related education and related experience may be substituted on an equal  basis.
  • Ability to understand, give, and follow oral and written instructions; read, analyze, and interpret correspondence, reports and other general data; respond to common queries, prepare reports and correspondence, communicate effectively with peers, superiors, and customers in person and by telephone.
  • Ability to perform intermediate mathematical calculations including addition, subtraction, multiplication, division, and determine percentages.
  • Elementary bookkeeping knowledge helpful.
  • Apply principles of logical thinking to define and solve minor problems or refer problems to appropriate supervisor.
  • Possess a valid Mississippi Driver’s License and Social Security number.
  • Non-U.S. citizens must have appropriate immigration documents.

Responsibilities

  • Receives customer service requests/complaints by telephone and walk-in customers, distributes such requests to appropriate foreman and sends letters informing customers when work and or repairs are complete.
  • Enters and monitors service requests through the Action Order Maintenance Program.
  • Prepares the monthly report of work completed by the Electric and Water and Sewer Departments as requested by the Manager.
  • Prepares rental light contracts, bills customer accounts for rental lights, maintains rental light records.
  • Maintains transformer records.
  • Updates equipment listing by unit, purchase date, cost, operator, and assists in the maintenance of the equipment ledger.
  • Invoices customers for services rendered and/or goods received.
  • Prepared various reports and correspondence upon request.
  • Performs clerical duties not routine to employee when necessary in the absence of others.
