About The Position

The Trust Administrative Assistant provides a high level of administrative support by preparing statistical reports, handling informational requests, and performing clerical functions such as preparing correspondence, greeting visitors, arranging conference calls, and scheduling meetings.

Requirements

  • Minimum Required: High School diploma or experience that enables performance in all aspects of the position
  • Minimum Required: 1+ years' administrative related experience, trust experience preferred.
  • Working knowledge of Microsoft Excel, Word, PowerPoint, Outlook

Responsibilities

  • Greet visitors and answers incoming calls, responds to their inquiries by providing information or seeks out resources for a response to inquiries. Takes messages, and transfers/directs them to the appropriate person(s) according to their question and or request
  • Reconcile client expenses upon receipt of bills. Review database for prior payments, check the recurring payment list, review account history to ensure bill is not duplicated, confirm account balance for sufficient funds, prepare check request and forward to Trust Officer for approval. Mail bill payments in a timely manner.
  • Operate office equipment such as fax machines, copiers, and phone systems, and uses computers to do spreadsheets, word processing, database management, and any other needed applications.
  • Transfer assets for new account. Gather information from Trust Officer needed to compile transfer file and work with removed institution to gather the assets, prior tax returns, original documents, and cost information on the assets. Follow-up timely to ensure assets are transferred to the trust account.
  • Image all trust administration documents. Ensure the documents are indexed to correct account and folder and image is pristine for future reference.
  • Maintain original documents. Image, log, and file original documents when received by Stifel Trust.
  • Order and ensure adequate and appropriate supplies are available for the department.
  • Understand and comply with all regulations, including the Community Reinvestment Act, Bank Secrecy Act, Fair Credit Reporting Act, etc.
  • Ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems, combines pieces of information to form general rules or conclusions, and makes recommendations or applies these rules to specific problems, producing answers that make sense.
  • Skilled at finding and using traditional and creative methods of solving the problem.
  • Ability to communicate effectively (both written and verbal) on the phone and in person as appropriate for the needs of the audience; uses excellent grammar and possess courteous and efficient phone and office etiquette; effectively conveys information.
