Requirements

  • 1-2 years of administrative or safety-related work experience, preferably in trucking, logistics, or a similar setting.
  • Exceptional attention to detail and organizational skills.
  • Clear written and verbal communication abilities.
  • Professional and collaborative approach when working with team members and external partners.
  • Ability to handle confidential and sensitive information responsibly.
  • Proficiency in MS Office Suite (Word, Excel, Outlook); experience with document management tools is a plus.
  • Strong time-management skills and ability to meet deadlines.
  • High school diploma or equivalent required.
  • Ability to adapt quickly in a dynamic, fast-paced environment.
  • Strong self-motivation and work ethic for success in remote work.
  • Commitment to upholding the highest standards of safety and confidentiality.

Nice To Haves

  • Familiarity with safety regulations and DOT compliance is a plus.
  • Experience using document management systems or safety/compliance tracking software is preferred.
  • Additional coursework or certification in safety, compliance, or transportation is preferred but not required.

Responsibilities

  • Assist with monitoring and maintaining records of safety-related documentation, including driver qualification files, incident reports, training records, and inspection logs.
  • Conduct regular audits of safety and compliance paperwork to ensure all files are current and accurate according to company and industry standards.
  • Coordinate with team members and drivers to collect missing documents and resolve any discrepancies in safety records.
  • Support incident reporting by gathering initial facts, documentation, and ensuring proper reporting processes are followed.
  • Help organize and schedule safety trainings, certifications, and employee safety communications.
  • Ensure the confidentiality of sensitive safety and compliance information at all times.
  • Generate and distribute regular reports on safety metrics and compliance status for review by leadership.
  • Maintain up-to-date knowledge of relevant safety regulations and best practices in the trucking and logistics sector.
