About The Position

The Tribal Office Manager will serve as the lead point of contact for administrative support for the Tribal Offices. The Tribal Office Manager will conduct and coordinate the day-to-day administrative duties necessary to keep the Wilton Rancheria Tribal Offices operational and provide support in all matters pertaining to effective and efficient office management. The Tribal Office Manager will also provide executive assistance to the Chief Administrative Officer.

Requirements

  • Knowledge of Tribal communities, specifically the Wilton Rancheria Tribal community, or a willingness to become knowledgeable.
  • In-depth knowledge of office management's standards, principles, and practices.
  • Proficiency in the Microsoft Office suite and other relevant technology.
  • Supervisory experience with the ability to coach and train staff.
  • Must have demonstrated experience in exercising sound professional judgment, determination, and persistence.
  • Must possess excellent analytical, typing/word processing, communication, grammatical and composition skills.
  • Ability to follow written and oral instructions.
  • Ability to exercise discretion and sound judgment in handling confidential information.
  • Knowledge of work simplification methods.
  • Ability to maintain accurate records.
  • Comfort in learning and working within IT systems.
  • Strong customer service skills
  • Must work well in a team environment, be a quick learner, and have solid time management skills.
  • Must demonstrate solid and effective leadership skills.
  • Must have the ability to respond effectively to sensitive inquiries.
  • Must have adequate conflict resolution skills/training.
  • High school diploma or GED required.
  • Minimum four (4) years of relevant experience (required).
  • Possession of a valid driver’s license must be insurable under Tribe’s transportation insurance (required).
  • Must be proficient in various computer software applications, including Microsoft Office Suite, Word, Excel, Outlook, and PowerPoint (required).
  • Must be personable and polite with the ability to use discretion, initiative, and sound judgment in performing duties.
  • Must be able to work evening hours and weekends (required) occasionally.
  • Must pass a pre-employment drug screen and random drug tests as requested over course of employment.

Responsibilities

  • Serves as point of contact for administrative functions of Tribal Offices.
  • Supervise, train, and lead administrative staff, providing professional guidance and support.
  • Oversee and manages the daily activities of office staff to ensure efficient operations and professional service delivery in adherence to established policies, procedures, and expressed expectations of the executive leadership.
  • Develop and implement standard operating procedures for administrative activities.
  • Provides executive assistance to the Chief Administrative Officer.
  • Handles confidential information with absolute discretion.
  • Coordinates and schedules meetings, conferences, and other events.
  • Prepares meeting spaces for meetings including, but not limited to, food orders, office supplies, and proper sanitization.
  • Troubleshoot and address technical issues of office equipment and phone systems in collaboration with IT support.
  • Assists in the coordination and execution of Tribal community events.
  • Maintains inventory, collecting and submitting orders for office supplies and equipment.
  • Monitor and reconcile office-related financial transactions.
  • Handles all incoming and outgoing mail (physical mail, electronic mail, and voice mail) and its distribution to appropriate personnel in a timely manner and efficient manner.
  • Oversee the phone coverage schedule, including ensuring planning, professional and timely responses to callers, and the intake of complaints and incident calls.
  • Assists Tribal Members and the public regarding programs and event information.
  • Oversees purchases, supplies, software, and other essential tools necessary for efficiently running the Tribal Offices.
  • Performs project and event planning for Tribal Offices, including overseeing and managing the office calendar.
  • Creates, formats, and edits documents.
  • Identify and address challenges in office processes, proposing and implementing solutions.
  • Foster a proactive and problem-solving culture within the administrative team.
  • Act as a liaison between tribal leaders and various departments, facilitating communication and ensuring smooth workflow.
  • Assists in managing and coordinating Tribal Safety Programs.
  • Performs other duties as assigned.
