About The Position

Collegiate School is seeking a Transportation Supervisor. Some of the responsibilities include planning, developing and implementing policies and procedures for Fleet Maintenance and Transportation services. The Transportation Supervisor will direct and supervise all Transportation personnel, and develop and implement procedures and operations for the maintenance, safety and scheduling of all School-owned or leased vehicles. The Supervisor will be responsible for all Transportation and Vehicular Systems and equipment and will adhere to all personnel policies, procedures and rules contained in the Faculty/Staff Handbook. This position is designated as Essential Personnel during emergency situations and inclement weather. This is a full-time 12-month position that reports directly to the Director of Facilities Management.

Requirements

  • 5 years of comparable supervisory experience in Fleet Maintenance and Transportation, including direct supervision of staff and program development.
  • Demonstrated working knowledge, skills and expertise in Fleet Maintenance and Transportation Systems.
  • Working knowledge of transportation, safety, reservations, scheduling and reporting methods, systems and procedures
  • Demonstrated initiative in the development and implementation of Fleet Maintenance and Transportation Systems Management procedures, programs and strategies.
  • Excellent verbal communication and listening skills with high attention to clarity and detail with ability to explain complex information/fact patterns in understandable terms to all levels of personnel using tact and professionalism.
  • Ability to take initiative and work independently and as part of a team.
  • Strong knowledge of cloud-based systems, word processing and spreadsheet software, and Windows platform.
  • Proven cross cultural competency skills demonstrating self-awareness, awareness of others and the ability to adopt inclusive perspectives, attitudes and behaviors to drive inclusion and belonging in the ongoing development and maintenance of an inclusive campus community.
  • Excellent reading, writing and comprehension skills.
  • Ability to develop and maintain accurate records.

  • Knowledge of, and prior training involving, Federal and State occupational hazard and transportation safety programs.
  • Ability to Pass VDOT physical examination
  • Valid Commercial Driver’s License (CDL, Class B with passenger and air brake endorsement).
  • Valid Virginia driver's license.

Responsibilities

  • Safely manage the overall transportation program consisting of buses, service and other passenger vehicles.
  • Resolve issues arising from operations and requiring coordination with other departments
  • Maintain all valid certificates, licenses, endorsements and permits of drivers and vehicles as required by state and local authorities in order to provide a ready fleet.
  • Drive a school-owned vehicle/bus with or without passengers on a periodic basis
  • Review and submit bi-weekly payroll through the School’s payroll system
  • Work with the School’s risk manager on a regular basis in assessing and mitigating risk within the transportation program
  • Plan, schedule and assign work for transportation staff to ensure proper distribution of assignments and adequate personnel and equipment for performance of duties.
  • Plan, direct and control transportation services and review and inspect transportation equipment and processes to ensure efficiency, safety and sustainability of operations.
  • Review, inspect and evaluate work in progress at appropriate intervals to ensure completion as directed and scheduled.
  • Continually assess, audit and evaluate the physical condition and performance of school-owned or leased transportation equipment.
  • Troubleshoot, develop and direct prioritized corrective actions as required.
  • Forecast and meet capacity needs to maintain fleet readiness and safety.
  • Maintain an accurate inventory and records for all school-owned or leased transportation equipment for insurance and depreciation purposes.
  • Respond to and investigate accidents involving school owned vehicles and rentals on and off campus and report findings to direct supervisor.
  • Maintain and update all policies and manuals as it relates to transportation
  • Research and maintain an up to date knowledge base of safety “Best Practices'' within the Fleet Maintenance and Transportation Industries and revise the School's Fleet Manual, as appropriate.
  • Develop and implement new procedures and practices as needed for the School’s benefit and train employees in new techniques, processes and programs.
  • Develop cost efficiency measures in transportation operations.
  • Conduct, develop or assign training programs for departmental employees on effective operation and compliance with departmental and regulatory agency requirements.
  • Enforce life safety regulations and requirements.
  • Perform required pre/post trip inspections, drive buses for school functions, and perform routine maintenance on school-owned or leased transportation equipment, as required.
  • Make recommendations for the development of operational budgets.
  • Provide timely Budget, Vendor, Contract and Invoice Management.
  • Assist with various personnel functions including hiring, promotion, employee evaluation, merit recommendations, disciplinary actions, time records, and vacation schedules.
  • Understand and affect Emergency Management Planning and Recovery.
  • Perform other necessary Facilities duties, as assigned.
