About The Position

The Transportation Operations Coordinator ensures smooth, efficient, and timely transportation operations. They verify load plans, coordinate shipments, track and manage shipment schedules, support billing and invoices, and provide direct customer support. Working closely with Operations leaders, Safety and Compliance, and Customer Service teams, they anticipate and resolve customer concerns to ensure a exceptional service experience.

Requirements

  • Education: High School Diploma or General Education Development (GED) required
  • Experience: Prior experience in a transportation, logistics, fleet, safety, or operations support role, with exposure to driver/carrier onboarding and/or regulatory compliance.
  • Working knowledge of DOT/FMCSA regulations and common fleet/driver compliance requirements (e.g., MVRs, background checks, medical cards, insurance documentation).
  • Strong attention to detail with the ability to accurately manage and reconcile large volumes of data and documents across multiple systems and platforms.
  • Excellent communication and customer service skills, with the ability to provide professional support to individuals from all backgrounds.
  • Proven ability to manage multiple priorities, meet deadlines, and follow structured processes while also identifying opportunities for improvement.
  • Demonstrated discretion and confidentiality in handling and protecting sensitive information.
  • Technical: Proficient with common office technologies, including Windows PCs, Microsoft O365 (Outlook, Word, Excel, PowerPoint, etc.) and web conferencing (Teams, Zoom, Webex, etc.)
  • Environment: Comfort commuting to/from and working in a 100% on-site setting (listed in this posting), with travel for related meetings/events.

Nice To Haves

  • Undergraduate degree preferred.
  • Certification/Licensure: Transportation safety, DOT compliance, or related certifications (e.g., CDS, safety/compliance programs) preferred.
  • Systems Knowledge: Experience with McLeod Transportation Management System (TMS) preferred

Responsibilities

  • Coordinate transportation providers to ensure prompt, accurate, and efficient movement of shipments.
  • Review shipping orders, documentation, and load plans to verify accuracy and compliance.
  • Track shipments, identify issues, and resolve shipping errors to maintain on-time delivery and service quality.
  • Manage distribution schedules and shipment load planning to optimize resources and operational flow.
  • Prepare and process bills, invoices, and related transportation documentation.
  • Make special shipping or transportation arrangements as needed to meet customer requirements.
  • Respond to customer inquiries, providing clear guidance and directing clients to the appropriate channels.
  • Ensure all transportation services meet established quality and performance standards.
  • Develop and refine processes to improve the efficiency, organization, and reliability of the supply chain.
  • Provide training and support to team members, fostering effective problem-solving and client-service skills.
  • Build strong working relationships through professional communication and lead-by-example conduct.
  • Strong problem-solving abilities with a focus on addressing client and shipment issues proactively.
  • Excellent communication skills with the ability to build rapport and guide new team members.
