About The Position

Records and maintains perpetual inventory of quantity and type of materials and parts received, stocked, and distributed, manually or using computer.

Requirements

  • High School Diploma or equivalent education
  • 1+ years' experience with spreadsheet applications, including creating & modifying basic spreadsheet formulas.
  • 1 year of Maximo software experience
  • Ability to obtain common Access Card
  • Continual attention to detail and accurate data entry skills required
  • Excellent grasp and command of the English language and writing skills, including good grammar, spelling, and punctuation required
  • Basic knowledge in acquisitions or supply chain fields.
  • Basic knowledge of Federal Acquisition Regulations (FAR) and other procurement statutes, policies, and procedures.
  • Experience applying analytical skills to procurement issues.
  • Able to exercise independent judgement with minimal supervision.

Responsibilities

  • Dispatch GSA, C-Pool, B-Pool vehicles. Receive GSA, C-Pool, B-Pool vehicles.
  • Maintain Files on Government assets, equipment and Contractor’s vehicles and equipment.
  • Coordinate sales and repairs to GSA, Navy, other commands and non-government customers.
  • Schedules GSA auction swaps and complete necessary forms.
  • Make Invoices for sales, parts, labor etc. process credit card transactions and keep log.
  • Receives inquiries/requests for service work order by phone, fax or email.
  • Extracts necessary information from the customer to produce an accurate description of the required work.
  • Prepares service work orders using information, such as name, address, vehicles, and buildings to be repaired, or service to be rendered using database software to create service work orders from customer-provided information.
  • Determines if requested service call is valid and by contract guidelines.
  • Determines if service call request involves safety or health issues requiring an immediate response.
  • Performs computer-based data entry requirements.
  • Prints and finishes service work order processing in accordance with standard operating procedures.
  • Distributes work orders to craftsmen, through their supervisor, upon customer’s request for service calls.
  • Relays messages and special instructions to craftsmen and other departments using radio or telephone equipment.
  • Provides status of service calls to the customer to ensure satisfactory customer service and log appropriately into the database.
  • Enters labor hours and material cost data from completed service and preventive maintenance work orders into database.
  • Prints and distributes preventive maintenance work orders to Transportation Technicians
  • Research’s service and preventive maintenance work orders status in databases or by contacting the appropriate supervisor(s).
  • Maintains records of service calls and preventive maintenance work orders via database entry.
  • Scans completed service and preventive maintenance work orders into the digital sender and verifies that all scanned tickets are in the digital sender folder on the network, when required.
  • Uses Safety Data Sheets to identify chemical characteristics.
  • Completes time sheets daily and accurately.
  • Conducts market research, data analysis, and technical evaluations from vendor proposals.
  • Reviews planned orders, creates requisitions for purchased items and supports the approval process.
  • Tracks order acknowledgement; confirms lead times, delivery dates, and costs; and communicates with the program office on any discrepancies or disruptions.
  • Reviews and tracks purchase orders until they are closed.
  • Reviews orders to confirm that they adhere to supplier agreements and contracts, and reports nonconformance.
  • Reviews invoices to confirm delivery of goods and assist with invoice discrepancies.
  • Identifies opportunities and recommends actions to achieve efficiencies.
  • Evaluates supplier’s capacity to perform and comply and makes recommendations to management concerning products and services and available sources of supply.
  • Work also involves other duties as assigned, including compliance with the provisions of the Collective Bargaining Agreement and Company Policies.
  • Basic knowledge of maintenance and repair crafts used such as Automotive repair, light and heavy Duty, equipment repair, Weight Handling aspect, Cranes, MHE, and others, create service calls as required.
  • Ability to Manage, Track and Generate Work Orders, Input service orders, using contractors’ management system, Government Maximo.
