About The Position

The Transportation Business Operations Coordinator is responsible for coordinating daily student transportation operations and overseeing all financial and accounting functions related to contracted and in-house services. This includes development, monitoring, and reconciliation of transportation contracts, invoices, and vendor payments. The role supports safe and efficient transportation while ensuring compliance and fiscal accuracy.

Requirements

  • Bachelor’s degree in Accounting, Business Administration, School Business Management, or a related field required.
  • Minimum of 3–5 years of experience in school transportation or financial operations.
  • Strong knowledge of student transportation regulations and financial oversight practices.
  • Proficiency in Microsoft Excel and financial management systems (e.g., Systems 3000 or equivalent).
  • Excellent organizational, analytical, and communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Detail-oriented with strong problem-solving skills.
  • Ability to collaborate with various stakeholders including district personnel, vendors, and parents.

  • Experience with student transportation routing software and financial systems preferred.

Responsibilities

  • Oversee daily student transportation logistics, including routing, scheduling, and coordination with contractors and school districts.
  • Serve as the primary point of contact for district coordinators regarding transportation-related questions, concerns, and service needs.
  • Coordinate special transportation requests, including out-of-district placements, homeless, and students with disabilities.
  • Maintain and update routing databases and ensure compliance with IEP transportation provisions and state mandates.
  • Assist in the development of emergency and contingency routing plans.
  • Oversee the transportation billing and invoice processing functions to ensure accuracy and compliance with contract terms.
  • Review and reconcile transportation contractor invoices; verify mileage, ridership, and route information.
  • Monitor route budgets and perform cost analysis to identify areas for savings or efficiencies.
  • Assist in the preparation of bid documents and analysis of proposals for transportation services.
  • Prepare reports for internal and external stakeholders, including transportation costs, trends, and forecasts.
  • Produce and maintain purchase orders
  • Develop and maintain spreadsheets for reviewing vendor payments, as compared to contracted amounts
  • Prepare monthly contractor payment schedule for Accounting department
  • Prepare monthly billing to member districts
  • Track penalty deducts and reconcile for Accounts Receivable Department
  • Enter all billing costs into Transportation software
  • Run financial reports upon request
  • Oversee data entry, renewal costs, bid awards
  • Provide training, support, and evaluation of staff to ensure accuracy, efficiency, and adherence to deadlines.
  • Implement process improvements and technology tools to streamline operations.
  • Ensure compliance with all applicable state and federal regulations, including NJDOE code, DRTRS (or applicable state laws), student transportation requirements, and financial reporting standards.
  • Prepare documentation and support materials for audits and state reporting.
