About The Position

The Transfer Coordinator is a pivotal role responsible for full ownership of the end-to-end transfer experience, ensuring each transfer is executed accurately, efficiently, and with care. This role requires expertise in managing complex transfers, resolving not-in-good-order (NIGO) items, and collaborating with advisors and external firms to address and prevent rejections. Coordinators serve as trusted experts for internal and external partners, working across functions to improve processes, mitigate risk, and maintain accurate, timely transfers. They build strong relationships through proactive, empathetic communication, delivering exceptional service that not only solves problems but also strengthens trust and advisor satisfaction. Coordinators also have a clear path for advancement to II, III, and Senior roles by taking on additional responsibilities and consistently exceeding key performance metrics. We can consider candidates for this position who are able to accommodate a hybrid work schedule and are close to our Phoenix, AZ office.

Requirements

  • Knowledge of ACAT, Non-ACAT, and DTC transfers
  • Strong organizational, communication, interpersonal, and negotiation skills
  • Excellent attention to detail and accuracy
  • Ability to quickly learn business systems and analyze, interpret, and report data
  • Collaborative, able to prioritize, manage risk, and resolve issues effectively
  • Self-directed, results-oriented, with strong ownership and customer focus
  • Ability to build strong relationships and deliver exceptional, empathetic service
  • Minimum of 2 years of industry experience (Required)
  • Bachelor’s Degree or equivalent work experience (Required)

Nice To Haves

  • Experience in brokerage and banking (Preferred)

Responsibilities

  • Serve as the primary owner of the end-to-end transfer journey, ensuring a seamless experience from the moment a request is initiated through successful settlement by coordinating with advisors, contra firms, vendors, and internal partners to proactively manage every step.
  • Resolve issues swiftly by researching complex cases, addressing rejection reasons, and communicating clearly with all stakeholders via phone and email.
  • Mitigate risk and drive continuous improvement by conducting daily audits, refining procedures, and collaborating with cross-functional teams to optimize workflows.
  • Enhance team capability by supporting training efforts, contributing to cross-functional initiatives, and maintaining strong communication with peers and leaders.
  • Update, maintain, and refine transfer procedures to ensure process consistency, efficiency, and accuracy.
