About The Position

The Trademark Docket Administrator is responsible for the accurate and timely management of trademark, domain name, and related IP docketing matters in the Firm’s docketing system. This role supports domestic and international trademark prosecution and portfolio maintenance by tracking deadlines, processing official correspondence, coordinating with foreign counsel, and ensuring the integrity of docket records. The position requires strong attention to detail, sound knowledge of trademark procedures, and the ability to work effectively in a fast-paced, deadline-driven environment.

Requirements

  • Minimum of 4–6 years of relevant trademark docketing experience, preferably in a law firm environment.
  • Proficiency with CPi or similar trademark docketing software required.
  • Strong knowledge of USPTO and foreign trademark prosecution and registration procedures.
  • Excellent attention to detail with strong proofreading, organizational, and time-management skills.
  • Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
  • Professional demeanor and strong interpersonal skills when interacting with attorneys, staff, clients, and foreign counsel.
  • Proficiency in Microsoft Outlook and Excel.
  • Demonstrated enthusiasm for learning and taking on new challenges.

Nice To Haves

  • Bachelor’s degree from an accredited college and/or paralegal certification from an ABA-approved program preferred.
  • Familiarity with domain name registration, UDRP proceedings, and copyright matters is a plus.

Responsibilities

  • Review, analyze, and process official correspondence from the U.S. Patent and Trademark Office (USPTO), international authorities, and foreign agents.
  • Enter, update, and maintain accurate docket records in the CPi docketing platform for trademarks, domain names, customs recordations, and copyrights, including domestic and international prosecution, agreements, conflicts, TTAB/Board proceedings, and other contentious matters.
  • Conduct global reviews of docket records; generate and distribute deadline reminders, docket reports, and client portfolio reports as needed.
  • Oversee and execute onboarding of client trademark portfolios, including data mapping, deadline reconciliation, and post-migration audits.
  • Track and calendar use evidence and maintenance/renewal filings (e.g., Sections 8, 9, and 71) to support ongoing portfolio maintenance.
  • Coordinate with foreign counsel to open new matters, confirm local procedural deadlines, obtain and docket powers of attorney, legalizations, and translations, and reconcile filing confirmations.
  • Docket and support ownership changes, including assignments, mergers, and name changes, and ensure proper recordation with the USPTO, WIPO/Madrid, and foreign registries.
  • Retrieve and review trademark data and documents from USPTO, WIPO/Madrid, foreign IP office databases, and subscription services, ensuring accurate capture of status, deadlines, and bibliographic information.
  • Assist with review of global trademark watch notices, capture relevant details and deadlines, and prepare concise summaries for attorney review.
  • Support trademark and domain name due diligence searches, research assignments, and administrative projects; prepare clear and well-organized reports, schedules, and data extracts.
  • Perform periodic, portfolio-wide docket audits to support quality control and data integrity.
  • Train new team members on docketing procedures and remain current on developments in trademark and IP law.
  • Provide additional administrative and docketing support to trademark attorneys and paralegals as needed.
