About The Position

The Total Rewards Coordinator provides administrative and operational support for the organization’s compensation, benefits, payroll, and HR systems processes. This role ensures accuracy, compliance, and timely execution of total rewards activities, including payroll-related entries, benefit administration, and employee data management. The Administrator partners closely with HR, Finance, and external vendors to maintain efficient workflows, support audits, and deliver a seamless employee experience.

  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Proficiency in Microsoft Excel.
  • Strong interpersonal and communication skills, with the ability to interact professionally with employees and vendors.

Nice To Haves

  • Bachelor’s degree in Human Resources, Business Administration, or related field.
  • 2+ years of experience in HR, payroll, or total rewards administration (experience with Paycom or similar HRIS).
  • Understanding of FMLA and basic benefits administration processes.

Responsibilities

  • Review, process, and track Personnel Action Forms (PAFs) for accuracy and appropriate approval
  • Manage Paycom user access, including account setup, client access, and password resets.
  • Process and reconcile union invoices and benefit-related billing, ensuring timely payment and proper coding.
  • Administer and track employee garnishments in compliance with federal and state regulations.
  • Coordinate new seat creation and maintain up-to-date employee position and compensation records.
  • Support FMLA administration, including documentation, tracking, and coordination with employees and managers.
  • Manage medical support notices and related correspondence from state agencies.
  • Run scheduled and ad hoc system reports from Paycom and other HR systems.
  • Provide audit assistance, ensuring documentation and data accuracy for internal and external reviews.
  • Performs other related duties as assigned.
