About The Position

Are you a highly organized, detail-oriented professional with a passion for administrative excellence? C. Harper Auto Group is actively seeking a Title Clerk to join our growing Titles Team at our Ford / KIA dealership in Belle Vernon, PA. This is a critical role responsible for ensuring the timely and accurate processing of vehicle titles and registrations across our expansive dealership network. As a Title Clerk, you’ll be part of a fast-paced administrative team where your ability to manage legal documentation, ensure compliance, and maintain meticulous records will directly contribute to our continued success and reputation for excellence.

Requirements

  • Prior experience in automotive title processing, DMV paperwork, or similar administrative role strongly preferred.
  • Proficiency in MS Office Suite (Word, Excel, Outlook) and dealership management software (e.g., CDK, Reynolds & Reynolds, or similar).
  • Strong knowledge of PA title regulations and DMV procedures (knowledge of out-of-state processing a plus).
  • Exceptional attention to detail, organization, and ability to prioritize tasks independently.
  • High level of professionalism and strong communication skills (both written and verbal).
  • High school diploma or equivalent required; additional administrative training or certifications are a plus.

Responsibilities

  • Process and submit vehicle titles and registrations for new and pre-owned vehicles in compliance with Pennsylvania state regulations.
  • Review and verify legal documentation for accuracy and completeness before submission to the Department of Motor Vehicles (DMV).
  • Handle interstate title transfers, ensuring proper documentation and follow-up with state agencies.
  • Maintain organized records, filing systems, and logs for all pending and completed title work.
  • Input relevant accounting data and prepare paperwork for vehicle transfers between dealerships or to customers.
  • Proactively track and resolve title-related discrepancies, delays, or missing information.
  • Serve as a liaison between sales departments, customers, and state agencies regarding titling concerns.
  • Uphold professionalism, confidentiality, and a positive, team-oriented attitude in a dynamic administrative setting.
