About The Position

Ohmstede Industrial Services is a proven industry leader in turnaround and specialty maintenance services, management and execution. We are looking for a multi-tasker with good communication skills and a positive attitude. As the Administrative Assistant / Timekeeper you will be asked to perform basic clerical and administrative duties as well as assist in accurately tracking and maintaining employee time records. This role supports HR, Payroll, and department managers.

Requirements

  • Highschool Diploma or GED Required.
  • Basic accounting knowledge, expense tracking, and managing office supplies.
  • Excellent communication and customer service skills.
  • Ability to manage multiple tasks and set priorities.
  • Strong attention to detail and accuracy.

Nice To Haves

  • Knowledge of Management Systems and Software (Excel, Word, PowerPoint, mJobTime, SilkRoad, VISTA and Echart) Preferred.

Responsibilities

  • Answering phones and greeting visitors.
  • Ordering and maintaining office supplies.
  • Preparing expense reports.
  • Performing data entry for employee time entries.
  • Ensure accuracy of employee hours worked.
  • Accurately allocate/enter time for field projects via client timekeeping system, i.e. Track, CDMS.
  • Administration and processing of invoicing, work records, personnel files, and associated documents.
  • Maintaining of project cost reports.
  • Enter, calculate, reconcile and submit job site payroll data file via MJT.
