About The Position

The Tenant Manager oversees the daily administration of tenant matters for properties owned or leased by Claratel Behavioral Health. The Tenant Manager serves as the interface between the tenant and Claratel Behavioral Health for issues related to resident tenancy and requirements outlined in the tenant agreement. The Tenant Manager ensures maximum occupancy of residential beds based on available units and associated funding. Schedule The schedule is routinely 8:15 a.m. to 5:00 p.m. in an office setting; Some after hours and weekend work and local travel required to address tenancy issues.

Requirements

  • Minimum 2 years in property management or experience managing or supporting HUD grants.
  • Strong written and verbal communication skills.
  • Ability to work independently.
  • Strong customer service skills.
  • Attention to detail.
  • Ability to multi-task.

Responsibilities

  • Screen Tenants and Determine Eligibility -Receive and review all tenant applications and determine eligibility for housing based on eligibility criteria and unit availability.
  • Manage Background Checks - Ensure that third party screening, such as criminal background checks, are completed and received.
  • Manage Tenant Agreements - Schedule and coordinate new tenant meetings, issue tenant agreements and complete annual renewals, issue notices of tenant agreement violations, establish payment plans for past due rent, as appropriate, and partner with the Compliance team on dispossessory procedures.
  • Tenant Communication and Dispute Resolution - Manage communication to tenants regarding issues of tenancy, serve as initial point of contact for property management companies, and consult with the Housing Director to resolve minor tenant complaints.
  • Contract Management - Coordinate with Contracts team to ensure that leases are signed timely, and modify tenants’ occupancy based on admissions, discharges, and transfers.
  • Complete Agency Documentation- Maintain bed management system, showing vacancies by funding source, gender, and other occupant parameters. Complete grant and funding related documentation, including expenditures and receivables, in a timely manner. Complete annual income verification documentation and issue new rent payment agreements. Document tenant encounters in tenant record.
  • Maintain Program Outcomes - Track program outcomes, including occupancy rates and funding compliance. Trend tenancy violations and work with Clinical, Quality, and Compliance teams to mitigate associated risks.
  • Provide Community Education - Educate potential referral sources on the available programs and eligibility criteria. Maintain communication with referral sources on vacancies.
  • Assist with Special Projects - Engage in ongoing professional development.
