We are looking for a Tenant Experience Coordinator who enjoys being at the center of that experience and takes pride in helping a building run smoothly while making people feel genuinely welcomed. This role is a great fit for someone who enjoys building relationships, staying organized, and being the go-to resource for tenants, vendors, and on-site partners. You will balance hospitality and customer service with strong administrative coordination, playing a visible role in how tenants experience the building day to day.

Requirements

  • 2+ years of experience in a tenant-facing, hospitality, office coordination, administrative, or property-related role
  • Strong customer service mindset with confidence communicating with a variety of stakeholders
  • Excellent organization and follow-through in a fast-paced environment
  • Comfort using Microsoft Office, especially Excel, and learning new systems
  • A polished, approachable demeanor with discretion and professionalism

Nice To Haves

  • Experience in commercial property management
  • Exposure to property management or work order systems such as Yardi, MRI, Angus, or similar
  • Experience supporting projects, events, or coordinated initiatives

Responsibilities

  • Serve as a primary point of contact for tenants, providing friendly, responsive, and professional support
  • Partner closely with the building engineer to coordinate and follow up on tenant service requests
  • Assist with tenant events, networking opportunities, and community-building initiatives
  • Coordinate tenant move-ins, orientations, and welcome materials
  • Build positive working relationships with tenants and vendors
  • Process and code vendor invoices accurately
  • Track and maintain vendor and tenant insurance certificates
  • Assist with lease administration tasks including correspondence, abstracts, and document organization
  • Support reporting, data tracking, and general administrative needs for the property team
  • Assist with bid proposals, service contracts, and bid comparisons
  • Support tenant billing for work orders, HVAC usage, and meter readings
  • Help coordinate tenant improvement projects and capital initiatives by keeping documentation and timelines organized
  • Act as a welcoming first point of contact for tenants, vendors, and guests
  • Coordinate meetings, inspections, tours, and community events
  • Assist with basic office, phone, and technology coordination as needed
