About The Position

Under the general supervision of the Arts & Cultural Manager, the Theatre Production Coordinator will oversee all Holladay theatrical productions and events. Requirements

  • Requires a high school diploma or equivalent.
  • Requires five years of experience in production management or a similar coordination role. May substitute additional education for experience.
  • A valid Utah Driver’s License is required.
  • Microsoft Office; municipal government procedures; correct English usage; vocabulary; spelling; and arithmetic; theater administration; business practices; and responsibilities of the creative team (i.e. director, choreographer, set designer)
  • Responsibility for the care, condition, and use of materials, equipment, money, and/or tools.
  • Flexibility and clear communication are encouraged by coordinating all aspects of the productions and the office. All tasks need to be managed in an organized and timely manner.
  • Interact with art professionals, public and other City department contacts, furnishing and obtaining information; contacts requiring tact and judgment to avoid friction; frequent contacts involving the carrying out of programs and schedules.
  • Communicate effectively verbally and in writing; establish and maintain effective working relationships with employees and the public
  • Regular use of office equipment, including a phone, computer,and copy machine; general understanding of stage equipment.
  • Follow established work procedures; follow written and verbal instructions; communicate effectively verbally and in writing; establish and maintain effective working relationships with employees and the public; work independently on assigned projects involving simple research and data collection; report preparation and budget data preparation.

Responsibilities

  • Oversee all theatrical events associated with the City of Holladay, including the production team members and budgets.
  • Act as a City liaison with the production team, providing communication and support to the production team and City staff.
  • Oversee rehearsals and auditions and coordinate schedules throughout the process. It is expected that at least half of the Production Coordinator’s hours include attending rehearsals.
  • Interface with clearing houses to manage rights and royalties and ensure the production team choices abide by the stipulations of contracts.

  • As directed by the Arts & Culture Manager, coordinate contracts and letters of agreement with production staff and outside
  • Ensure adherence to purchasing
  • Create the production playbill, ensuring the proper contractual billing.
  • Manage the front of house operations during the production run.
  • Assist with marketing efforts as needed.
  • Assist in fundraising and grant writing efforts by documenting volunteer hours, in-kind donations, or other information as required.
  • Coordinate production design and staging needs with the City
  • Perform other duties as assigned by the Arts & Cultural Manager.
