Azusa Pacific University is seeking a Temporary Program & Clinical Placement Coordinator for the School of Nursing (SON) to work collaboratively with a team of program staff in support of the Division of Graduate Departments. This position coordinates program and clinical placement activities under established policies, procedures, and guidance, contributing to the effective day-to-day operations that support students and faculty across the division. The ideal candidate is an efficient, service-oriented team member who thrives in a fast-paced academic environment. Strong organizational skills, the ability to prioritize and multitask, and attention to detail are essential to maintaining schedules, tracking program activities, and providing reliable administrative and logistical support. This role requires discretion and sensitivity in handling student records in compliance with the Family Educational Rights and Privacy Act (FERPA). Because the position supports students and faculty across multiple campuses and regions along the West Coast, comfort navigating a variety of technology platforms and third-party systems is critical. The position reports to the Department Chair for the MSN programs and works closely with program leadership, including the Program Manager for the graduate division. The role is based at the Inland Empire Regional Campus, with some program and school activities requiring evening or weekend availability.

Requirements

  • Bachelor’s degree or equivalent experience.

Responsibilities

  • Participate as a member of a team that will monitor and track each student in the program from start to completion.
  • Assist faculty with the process of creating course schedules, class rosters, book orders, and the coordination of academic activities, etc.
  • Coordinate admissions tracking of applications, completeness, and communications between the department and potential students.
  • Support new student orientation preparation, planning, and execution.
  • Track the clearance of students to participate in clinical/program activities.
  • Participate in the evaluation processes with the coordination of surveys, exit interviews, student completion tracking, etc.
  • Coordinates the file management for student files, program forms, etc.
  • Maintain the program’s calendar of activities and assist with the coordination of faculty, student, and alumni engagement.
  • Coordinate with university services such as catering, printing and binding, mailroom, room resources, information and media technology, facility and equipment requests, etc.
  • Create, maintain, and distribute promotional materials for events, bulletin boards, etc.
  • Maintain department databases and reporting systems in support of grants, accreditations, and academic evaluations, under the direction of program leadership.
  • Create and maintain meeting minutes and correspondence as directed.
  • Order program supplies and equipment as needed.
  • Operate a variety of software products.
  • Provide administrative support to the Department Chair.
  • Support and assist in maintaining relationships with area health providers and community partners as directed by program leadership.
  • Coordinate clinical placement logistics and assist in identifying placement opportunities in collaboration with program leadership and the clinical placement team.
  • Coordinate the placement of students at clinical sites by aligning student learning needs and program requirements with site availability, following established guidelines and approvals.
  • Communicate via email, phone and/or in-person with nurse educators and/or placement coordinators in clinical facilities to develop clinical placements for graduate students.
  • Verify that all required documentation, background checks, and health records for students placed in clinical facilities have been submitted.
  • Provide clinical faculty information regarding the clinical orientations for each student group each semester.
  • Maintain database for School of Nursing preceptor assignments.
  • Work with the clinical placement team to ensure affiliation agreements are in place for each clinical site.
  • In collaboration with Chairs and Program Managers, assist with the resolution and coordination of student clinical placement issues, escalating concerns as appropriate.
  • Serve as a liaison between SON and background clearance agencies to support compliance and troubleshoot issues.
  • Manage sensitive and confidential file systems in both digital and physical formats.
  • Responsible for daily electronic timekeeping as it applies to the scope of this position.
  • Regular, punctual attendance as required by the supervisor based on department needs.
  • Performs other duties as assigned by the supervisor.
