Job duties include, but are not limited to: Design and maintain a professional, user-friendly symposium website including event details, schedules, speaker bios, and registration information. Create promotional flyers and digital graphics for email campaigns and social media outreach. Set up and manage the online registration system (general attendees and poster submissions), monitor data, and troubleshoot technical issues. Support on-site event logistics including printing name tags, staffing the registration desk, managing event databases, sending confirmations, and processing speaker reimbursements through UCI financial systems (e.g., KFS).

Requirements

  • Strong organizational and project coordination skills with high attention to detail.
  • Ability to manage multiple deadlines in a fast-paced event environment.
  • Proficiency with online registration platforms, website builders, and basic database management tools.
  • Excellent written and verbal communication skills for correspondence with speakers and attendees.
  • Ability to read, write, and follow written and oral instructions in English.

Nice To Haves

  • Prior experience supporting symposiums, conferences, or large-scale events.
  • Proficiency with graphic design tools for promotional materials.
  • Familiarity with university financial or reimbursement systems (e.g., KFS).
  • Experience managing event websites and digital communications.
