About The Position

Major Functions: Responsible, under the direction of the Executive Director and/or Office Manager, for the performance of Chapter clerical and reception services, maintenance of Chapter files, replacement of office supplies and materials, and other duties as assigned.

Requirements

  • Good communication skills.
  • Good computer, word processing, and filing skills.
  • Minimum of two years of experience directly related to the duties of the position.
  • Ability to learn and/or receive specialized training in Microsoft Office Professional and other computer software applications.
  • Ability to manage/merge computer applications and files to produce working documents.
  • Ability to manage multiple task assignments.

Responsibilities

  • Performs clerical support workload in accordance with Chapter workplan priorities so as to meet established deadlines.
  • Receives and completes clerical assignments from the Executive Director, Program/Government Relations Director and/or Office Manager, and occasionally from student interns working on sanctioned projects.
  • Takes telephone calls and messages, responds to technical messages within knowledge base, refers technical and professional calls to the appropriate staff person.
  • Assesses and reports the need for office supplies, equipment upgrade/maintenance or special purchases to the Executive Director in a timely manner.
  • Completes routine correspondence, such as letters and enclosures to new or terminated members, on behalf of the Executive Director, Program/Government Relations Director, Office Manager, President and/or President-Elect.
  • Prepares essential materials for off-site meetings and conferences, such as name badges, participant rosters, forms for documentation of continuation education hours, etc.
  • Attends selected meetings and conferences sponsored by the Chapter to support on-site registration procedures and fiscal management practices.
  • Prepares receipts for deposit into Chapter financial accounts.
  • Accepts and appropriately records and/or routes phone calls and mail for follow-up action.
  • Completes other assigned/related responsibilities as required.
