About The Position

The ideal candidate for the Temporary Executive Assistant role will maximize the efficiency of the executives' time and serve as the primary liaison between their offices and other executive teams. This individual will proactively anticipate needs, coordinate logistics, and follow through on all requirements to enable the executives to perform at their highest level.

Requirements

  • 2 - 3 years of experience as an Executive Assistant or high-level Administrative/Project Manager Assistant.
  • Excellent written and verbal communication skills.
  • Professional demeanor with the ability to interact effectively across all levels of management.
  • Strong attention to detail and exceptional organizational skills.
  • Ability to thrive in a fast-paced environment, manage multiple priorities, and adapt quickly to changing demands.
  • Sound judgment, discretion, and a strong sense of responsibility.

Nice To Haves

  • Experience handling confidential information in a corporate environment is highly preferred.
  • Self-motivated, proactive, and a collaborative team player.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Responsibilities

  • Manage complex calendars, schedule appointments, and prioritize meetings with executive guidance.
  • Handle incoming calls, greet guests, coordinate conference rooms, and arrange meals.
  • Serve as a primary point of contact between executives, internal teams, and external partners.
  • Facilitate effective communication across departments and with external contacts.
  • Prepare executives for meetings by providing necessary materials and ensuring adherence to schedules.
  • Build and maintain strong relationships with executive contacts, becoming a trusted resource for the team.
  • Coordinate travel arrangements, including flights, hotels, and ground transportation, and manage itinerary changes.
  • Prepare expense reports and liaise with finance as required.
  • Provide coverage at Reception when needed, including booking conference rooms, assisting visitors, and offering beverage service.
  • Assist with personal tasks for executives, as needed.
  • Support ad hoc projects and special assignments.
