This recruitment is for a Temporary Executive Assistant position through UC Irvine's internal temporary staffing department. This position will be based in Orange, CA.

Requirements

  • Bachelor’s degree and 1-3 years of experience as an Executive Assistant supporting Director-level leadership or higher.
  • Advanced proficiency in Microsoft Office Suite, including Excel, with the ability to create polished materials.
  • Proven experience managing complex calendars, executive communications, and high-level meetings or events.
  • Exceptional organizational skills, sound judgment, and the ability to handle confidential information with discretion.
  • Ability to read, write, and follow written and oral instructions in English.

  • Experience supporting senior executives in a fast-paced, complex organization.
  • Strong event planning experience, including large-scale or high-visibility events.
  • Excellent written and verbal communication skills with strong stakeholder management ability.
  • Proactive, resourceful, and able to anticipate executive needs with minimal direction.

Responsibilities

  • Manage and optimize a complex executive calendar, aligning priorities, anticipating conflicts, and ensuring effective time management.
  • Partner closely with executives to support strategic initiatives, prepare materials, and track key deliverables.
  • Lead planning and execution of meetings and events, including end-to-end logistics, vendor coordination, and on-site support.
  • Serve as a primary point of contact; handling communications with professionalism and discretion.
