About The Position

Temporary Client Coordinator Receptionist - Mt. Vernon, WA Consejo Counseling and Referral Service is seeking to hire a temporary part-time Client Coordinator for our Mt. Vernon, Summary of Job Description: This position has a dual role within Consejo Counseling and Referral Service. ing directly to the Clinical Supervisor, administrative support staff will have primary duties in the screener role and receptionist, as well as supporting Consejo's leadership team.

Requirements

  • High School diploma required, plus 2 years' experience or AA a plus.
  • Proficient in speaking, reading, and writing both English and Spanish.
  • Assist all levels of management upon request.
  • Demonstrated ability to multitask, plan, and prioritize.
  • Demonstrated experience in an office setting.
  • Ability to work with all levels of staff and management.
  • Proficient in Microsoft Office.

Responsibilities

  • Conduct telephone screening for client referrals for the mental health program.
  • As needed, conduct face-to-face client screenings for the Children's and Family Services and the Adult and Adult with Disabilities Mental Health Departments.
  • Consult with therapist, mental health program managers/supervisors as needed to determine response time.
  • Handle crises as they arise during screening or via iing telephone calls received from the public during business hours.
  • Maintain cooperative working relationship with agency staff,munity, and social and health services agencies.
  • Requests files from medical records for returning clients.
  • Participate in required agency training and staff meetings.
  • Maintain close contact with program managers and supervisors.
  • Ensure proper intervention and follow-up with staff cooperation.
  • Ensure proper intervention and follow-up of screenings.
  • Refer clients to appropriate services within the agency and/ormunity agencies.
  • Coordinate crisis responses with the appropriate department or agency.
  • Schedule screening appointments and obtain all necessary documentation during the screening process.
  • Track the screenings and intake appointments.
  • the client one day before the intake interview to ensure the appointment is kept or rescheduled as needed.
  • Assign client numbers.
  • Responsible for Front Desk Support
  • Provide reminder calls to clients who have scheduled appointments.
  • Schedule Doctor's appointments
  • Manage multi-line phone system, including answering questions, directing calls, and transferring calls as necessary.
  • Process client payments, reconcile daily as required.
  • Provide word processing, spreadsheet, and databaseputer support for staff as assigned.
  • Process miscellaneous funds received in the agency.
  • Greet clients and advise therapists and other providers of client arrivals.
  • Greet and direct visitors as appropriate.
  • Sort and distribute iing mail, and meter outgoing mail for postal pickup.
  • Create charts as required and requested.
  • Provide copying support service for staff as assigned.
  • Maintain inventory stock of agency/department forms.
  • Monitor supply inventory and alert the Supervisor of needs.
  • Maintain office equipment in a serviceable condition.
  • Provide agencymunity resource information to clients/visitors as directed.
  • Provide administrative support to senior management as directed.
  • Assist in updating the agency as necessary.
  • Order office supplies for the entire agency
  • Fulfill other duties as may be assigned to meet agency operations needs.
