About The Position

North Marion Intermediate School is seeking a highly organized and customer-focused Secretary - Bookkeeper to support the daily operations of the school office in a temporary role through the end of the 2025-26 school year, with the potential for additional fall dates to be determined. This position serves as a key point of contact for students, families, staff, and community members, providing professional and welcoming customer service while helping ensure the office runs smoothly. The Office Assistant supports building administrators and staff with a wide range of clerical, bookkeeping, and student support responsibilities. This includes managing financial accounts, maintaining accurate records, assisting with student registration and attendance processes, and helping coordinate communication across the school community. Successful candidates will bring strong organizational skills, attention to detail, and a commitment to maintaining a positive and supportive school environment for students and families.

Requirements

  • High school diploma or equivalent as required by Oregon Department of Education standards
  • Experience in administrative or clerical work including customer service and general office operations
  • Basic bookkeeping skills and ability to perform accurate financial recordkeeping
  • Strong computer skills including word processing and recordkeeping programs (Google Workspace preferred)
  • Ability to communicate effectively with students, parents, staff, and community members
  • Ability to maintain confidentiality and handle sensitive information appropriately
  • Strong organizational skills and attention to detail
  • Ability to follow written and verbal instructions while exercising sound judgment and problem-solving skills
  • Ability to work collaboratively and maintain positive working relationships
  • Ability to perform the physical requirements of the position, including extended computer use, standing, walking, bending, and occasional lifting up to 50 pounds
  • Valid driver license and personal auto insurance
  • Successful background and criminal history clearance

Responsibilities

  • Provide front office support by greeting visitors, answering phones, and assisting students, parents, and community members
  • Maintain accurate records for financial accounts and fundraising activities
  • Process financial transactions including deposits, receipts, purchase orders, and payments
  • Maintain student records including immunizations, fees, lockers, and other required documentation
  • Assist with student registration, attendance tracking, field trip coordination, and staff notifications
  • Provide general clerical and administrative support to school staff and administrators
  • Maintain office supplies, calendars, purchase orders, and facility use permits
  • Provide minor first aid to students and seek assistance for more serious health concerns or emergencies
  • Support staff timekeeping and attendance processes as needed
  • Maintain strict confidentiality when handling student and staff information
  • Collaborate with colleagues to ensure a welcoming, organized, and efficient school office
