About The Position

The Law School's Office of Student Life is seeking to hire a temporary administrative assistant to perform routine tasks that impact day-to-day objectives requiring understanding and interpretation of policies and procedures and working knowledge of processes and systems. This position is responsible for providing support for events, finance and purchasing, office reception and general administration, communications, academic operations, and academic advising and skills. The Administrative Assistant is required to work in the office five days a week, Monday – Friday. The ideal candidate will have previous administrative and event planning experience. Candidates with Vanderbilt experience is a plus. A permanent position is cross posted as we are interested in hiring for the long term. This position will be tasked with the following. Event support including but not limited to ordering, contracts, payments, AV and building requests, room reservations, and other assigned tasks. Finance and purchasing support that includes but is not limited to on-the-ground One Card support, ordering, making payments, creating purchase orders, oversight of student reservation process, and collect and review receipts and other documentation. Reception and administrative support for the office's front desk, answering phones, greeting students and visitors, manage the office email inbox, and provide support for the Houses Program. Communications support including newsletter production, Anchor Link event reviews and posters, oversight of digital signage, and sending of office communications as directed. Academic operations support including but not limited to administrative exam support, hiring and oversight of student note takers, collect/track/upload notes into Box. Academic advising and skills support including but not limited to event planning assistance and fellow support.

Requirements

  • A high school diploma/GED is required. A bachelor’s degree is preferred.
  • A minimum of 3 years of experience is necessary.
  • Prior administrative support and event planning experience are necessary.
  • Strong written and verbal communication skills are necessary.
  • Excellent organizational skills are necessary.

Nice To Haves

  • Experience in a higher education setting is preferred.
  • Prior experience working at Vanderbilt and/or in Oracle and/or using Concur Travel are a plus.
