Key Responsibilities: Assist with scheduling meetings, appointments, and travel arrangements for CEO, COO and other executives as needed. Scheduling meetings for the Board of Directors, preparing and distributing materials, and being responsive to their needs. Facilitate quarterly board meetings logistics, securing space, ensuring materials are sent and available in the room, coordinate catering, ensure technology capabilities are available and in working order, greet guests and be available for any follow up. Compile the Board book from leadership board report materials and send the Board book out in advance of the quarterly board meeting. Attend Board and committee meetings, preparing accurate minutes, and ensuring timely follow-ups of action items. Maintain confidential executive information. Maintain the Board data portal, ensuring it is up to date and accessible. Provide administrative and project support to the executive leadership team, ensuring coordination and follow-up on meetings and Board interactions. Provide support for key organizational events, such as fundraisers, donor meetings, and public engagements. When appropriate answer phones and take messages for appropriate parties. Reconcile corporate credit card receipts, and purchasing for executives. Qualifications: Required: Minimum 2 years of administrative experience in a large organization. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, etc.) Exceptional interpersonal and communication skills, (written, verbal, and visual). Strong initiative, organizational skills, and ability to meet deadlines in a fast-paced environment.
