About The Position

The TIE Senior Administrative Associate (Invoice Processing) supports the Texas Institute for Electronics by processing invoices for goods and services.

Requirements

  • Bachelor's degree and three years of clerical experience, including one year of experience at either the Administrative Assistant or the Administrative Associate level, OR high school graduation or GED, and seven years of clerical experience.
  • 5 years of relevant accounting and payment processing experience.
  • Strong organizational and time-management skills, with the ability to prioritize multiple tasks in a deadline-driven environment.
  • Proficiency in Microsoft Excel, Word, Adobe, DocuSign, and Smartsheet.
  • Knowledge of UT Austin and vouchering and procurement policies and procedures.
  • Strong analytical and problem-solving skills.
  • Prior experience working at UT Austin in an Accounts Payable role and/or processing invoices within a UT Austin department.
  • Experience with University of Texas at Austin financial systems (FRMS, DEFINE, PointPlus).
  • Excellent written and verbal communication skills with a professional demeanor and customer service focus.
  • Ability to work independently and collaboratively, maintaining high accuracy and attention to detail.
  • Relevant education and experience may be substituted as appropriate.

  • More than the required education and progressively responsible experience in finance or accounting.

Responsibilities

  • Payment Processing: Verify that the invoice matches purchase orders and receipt of goods/services.
  • Resolve discrepancies in invoice amounts, purchase orders, or receipt records.
  • Execute payment transactions in accordance with vendor terms and deadlines to avoid penalties.
  • Track outstanding invoices and escalate issues to prevent delays.
  • Verify funding availability on contracts to ensure payments can be processed, and communicate payment settlements to priority vendors Compliance & Documentation: Ensure processes align with university, state, and federal regulations, including record retention policies.
