About The Position

Trileaf Corporation is a nationwide environmental, architecture, and engineering consulting firm that assists clients with environmental due diligence, regulatory compliance, and engineering and architectural design. From its headquarters in St. Louis, MO, and multiple branch offices throughout the U.S., Trileaf serves the wireless communications, commercial real estate, and financial industries. Trileaf is seeking a TEMPORARY Office Administrator to assist our with administrative tasks. This position is based in our St. Louis, Missouri office and will require on-site work through the mid July 2026. The anticipated workload is 40 hours per week.

Requirements

  • Proven experience as an Office Manager, Administrative Assistant, or similar role
  • Prior experience in clerical tasks, including electronic filing, data entry and record maintenance
  • Familiarity with basic accounting principles – Accounts Receivable, Accounts Payable, General Ledger
  • A proactive attitude and the ability to work independently
  • Attention to detail and problem-solving abilities.
  • Strong work ethic
  • Excellent written and oral communication skills
  • Strong client service skills with the ability to interact with all levels of management
  • Critical thinking and problem-solving skills
  • Ability to develop relationships with customers and team members
  • Proficient in using office software, such as Microsoft Office Suite.
  • Quick Books experience preferred

  • Previous experience in administrative support
  • Associates degree or equivalent

Responsibilities

  • Provide a welcoming environment while greeting visitors
  • Oversee daily operations to ensure a clean, functional and collaborative workspace
  • Manage office supplies, equipment, and vendor services to maintain availability and efficiency
  • Answer phone, route calls and take messages
  • Serve as the primary contact for building management and external vendors for maintenance and office-related needs
  • Provide occasional travel and meal coordination for management team
  • Assist in preparing documents, reports and presentations as needed
  • Support Accounting, with data entry, invoice tracking/submission and vendor correspondence
  • Update client information in accounting software
  • Support Activities Committee with office events, employee appreciation activities, and team-building initiatives
  • Manage company announcements and employee welcome notifications
  • Foster a welcoming and inclusive office culture to support team engagement
  • Support HR administrative duties as assigned
  • Maintain breakroom
  • Other duties as assigned with potential growth in responsibility
